Rates User Guide

Overview

 In Beta
Company Administrators can enable the Resource Management: Rate Tables - Company & Project Rate Management beta in Procore Explore. (US 2 | UK)

Rate tables centralize and standardize your labor and equipment rates across all projects.

When you create rate tables, you define cost and billable rates for labor and equipment. You can also define which rates can be overridden at the project level.

Rate tables are then applied to projects and referenced by different Procore tools such as Timesheets and Equipment. They can be viewed in 360 Reporting, Analytics, and within some Procore tools.

Rates can be applied to the following tools:

  • Change Events created from T&M Tickets

    • Rates are configured in T&M Tickets and applied to Labor and Equipment entries. When a Change Event is created from a T&M Ticket, the revenue unit cost in each change event line item is pre-populated based on the rates from the T&M entries.

    • These cost rates are visible in the Change Event in the Change Events tool.

  • Equipment

  • Timesheets

    • Can be applied to Equipment and Labor timecard entries, however they are not displayed in the Timesheets tool.

    • Rates can be viewed in 360 Reporting or Analytics.

Set Up Rates

Before rates can be applied to tools within your project, you must configure the rates tool, create rate tables, and configure project tools to apply rates.

Please follow the steps in the Rates Setup Guide.

View Equipment Details

Background

Procore's Equipment tool ensures all machines are optimally used and effectively managed from arrival to departure. The project's Equipment tool shows what equipment has been assigned to your project and is available for use in the project's Timesheets, Inspections, and Budget tools.

Things to Consider

  • Required User Permissions

  • The Equipment tool must be enabled for your project. See Add and Remove Project Tools.

  • Equipment on the Registry tab includes full details for equipment that is owned or subcontracted by your company. Records here are also added to the company's Equipment Registry.

  • The Project-Only Equipment tab includes short term or temporary equipment that was created in the Daily Log, Incidents, or Inspections tools. These records are not added to the company's Equipment Registry.

Steps

  1. Navigate to the project's Equipment tool.

  2. View Equipment.

    • Click the Registry tab and the Equipment ID to view the equipment details.

      • Click the relevant tab to see information:

    • Click the Project-Only Equipment tab to view temporary equipment that was created in the Daily Log, Incidents, or Inspections tools.

Create a Timesheet

Background

Procore's timecards and timesheets track the hours employees and equipment spend on a construction project.

When timecards are created, they are added to a daily timesheet. Within a timesheet, individual timecard entries track the employee and equipment hours. For employees, information tracked includes cost code, work location, hours worked, time type (like regular or overtime), and whether the hours are billable. For equipment, the task code and the operating hours are tracked.

An administrator can also configure timesheets to record employee data such as classifications and sub jobs.

 Tip
You can also Bulk Enter Timecard Entries.

Things to Consider

  • You can only bulk enter labor.

  • Employees and workers can have multiple timecard entries on a daily timesheet.

  • Zero hour timecard entries are supported to provide flexibility to enter time off and per diem.

  • 'Approved' timecard entries cannot be deleted.

  • Additional edits cannot be made after a timecard entry has been marked as 'Completed.'

  • Company Timesheets Administrators can limit the cost codes and types that appear the selectors when creating timecard entries. See Configure Advanced Settings: Company Level Timesheets.

  • Project Timesheets Administrators configure how time is collected for each project. Additionally, each some fields can be configured as required, optional, or hidden.

  •

    Equipment. Show/Hide Details

To sync Equipment Timesheets with Daily Log entries, the following must be true:

    • The required fields in your Equipment Timesheets fieldset must match those in your Daily Log Equipment fieldset.

    • The Daily Log must be open and not marked as 'Complete'.

    • Users must have permissions to create a timecard entry.

    • Users must have permissions to create an equipment Daily Log entry.

Sync Equipment Telematics to Timesheets (Beta)

Company Administrators can enable the Equipment: Telematics to Timesheets - Operating Hours Sync beta in Procore Explore. (US 2 | UK)

    • This integration is currently only available for Timesheets on Web.

  •

    Resource Planning. Show/Hide Details

    • Users under the 'Assigned to Project' or 'Assigned Employees' sub header have corresponding assignments in the Resource Planning tool. Their start and stop times are automatically filled in based on their assignment in Resource Planning.

    • Users must be added to the project in Procore for their Resource Planning assignment hours to automatically populate in Timesheets. See Add an Existing User to Projects in Your Company's Procore Account.

  •

Requirements for Users to be added to a Timesheet. Show/Hide Details

    • The person must be added to a the Directory and marked as an employee of your company.

Overview

Using Company or Project 360 Reports, you can build dashboards and reports to understand rates for labor and equipment Timesheets, as well as Equipment rates in general.

You can build custom reports using both rate attributes and related items data. Pre-built dashboards specific to Rates are not provided out of the box — most customers build their own dashboards tailored to their reporting needs.

Additionally, you can use Analytics 2.0 to build your own custom Rates reports.

Create Company 360 Report

Background

Use the 360 Reporting tool to create, customize, and export reports. You can build reports using data from Procore tools, design the column layout, and apply groups and filters. Once generated, export your report to Microsoft Excel.

Background

Analytics leverages Microsoft Power BI for data visualization and reporting. While Procore assists with data connection and extraction, users have several paths for report management depending on their technical needs and desired level of customization.

Things to Consider

  • Prerequisites:

    • To manage Analytics reports yourself, you must first establish a connection between Procore and Power BI. For details on generating access credentials and the initial setup, see the Power BI Connection section under Analytics 2.0 - Tutorials.

  • Additional Information:

    • Procore does not provide support for native Power BI functionality, such as writing Data Analysis Expressions (DAX) or creating custom measures.

Steps

You have two options for managing your Analytics reports:

Professional Services

If you require custom report creation or optimization that falls outside of standard support, you can engage Procore’s Professional Services team.

  1. Reach out to your Procore point of contact.

  2. Request a consultation to discuss your specific reporting requirements and the purchase of Professional Services hours.

  3. Collaborate with the Analytics Install Team (Professional Services for Analytics) to create, edit, or optimize your Analytics report files. See Professional Services and Support Offerings.
