What is a system administrator for a free Procore account in Procore Pay?

It is designed for General Contractors and Owner-Builders who act as their own General Contractors on a job. Procore Pay extends the Invoice Management icon-external-link.png functionality in the Procore web application to handle the payment process between general and specialty contractors.

Background

Procore provides specialty contractors with a secure way to receive invoice payments from general contractors using Procore Pay. When you create a free Procore account, you can perform a variety of tasks on the network. See How do permissions work for free Procore accounts?

Answer

To receive invoice payments from a general contractor using Procore Pay, your company must be set up as a beneficiary (a.k.a., a payee) in the general contractor's Procore Pay tool. By default, it is assumed that an invoice contact will complete the steps in Set Up Procore Pay as a Payee and become the subcontracting company's system administrator in their free Procore account. The system administrator can perform these available actions and these additional tasks for Procore Pay

How does my company become a payee?

You can become a payee in a general contractor's Procore Pay tool in two ways:

  1.  An invoice administrator must invite your company to join Procore Pay as a beneficiary. See Invite Beneficiaries to Procore Pay. By default, Procore Pay sends the invite to the invoice contact
  2. You, as the invoice contact, can set up Procore Pay as a payee by clicking the button in the Invoice. The invoicing company must have the Procore Pay tool set up for their account for you to see the button.
 Tips
  • Can't find the invite to Procore Pay? Check your email inbox for a message with the subject line 'Invitation to Procore Pay' or 'Link Bank Account to Receive Payments.' Then follow the steps in Set Up Procore Pay as a Payee.
  • Didn't receive an invite to Procore Pay? If you didn't receive an invite, you have these options:
    • Are you the invoice contact on the commitment? If you received an email with the subject line 'Invite to Bill', you are the designated invoice contact. This means you can log into the general contractor's Procore company account to view your commitment and its invoices. You can complete the Procore Pay setup process without an invite. See Set Up Procore Pay as a Payee.
    • Not sure if you're an invoice contact? If you haven't received an 'Invite to Bill', contact the general contractor to find out who your invoice contact is. To receive any of these email messages, you must be an invoice contact on a commitment. 
  • I received an invite, but my company already has a free or paid Procore company account. What do I do? Additional setup steps are required. Please read Set Up Procore Pay as a Payee.
