How can I use the '[Procore] SWPPP - Construction Site Stormwater Checklist' inspection template on my project?

Background

Procore has added a new inspection template called '[Procore] SWPPP - Construction Site Stormwater Checklist'. This inspection template has been automatically added to the Company level Inspections tool for all companies with the Inspections tool enabled. See the steps below for instructions on how to add this template to one or more of your project's Inspections tool.

We recommend you check with your governing body for standards and requirements unique to your site location.

Steps

 

Step 1: Optional. Edit the Inspection Template at the Company Level

If you want to make changes to the inspection template that will impact all projects the template is used on, we recommend editing the inspection template at the Company level before adding the template to your projects.

  1. Navigate to the Company level Inspections tool.
  2. Locate the template and click Edit.
  3. Choose from these editing options:
    • To modify a field, click on any of the editable fields and either type over the existing entry or select a different entry from the drop-down list. 
    • To change the Standard Response Phrasing, click the desired response set.
      Note: The response phrasing you select will apply to ALL items in this template, including items in previous inspections created from this template.

    • To add or edit an item's response type, in the Response Types dropdown menu, select one of the following options:
      • Default 
        • Standard: Users can respond to items by selecting Pass/Safe, Fail/At Risk, or N/A.
        • Number: Users can respond to items in the form of any positive or negative number up to 15 characters.
        • Text:  Users can respond to items with free-form text. There is no character limit to text responses.
        • Date: Users can respond to items by adding an appropriate date.
      • Multiple Response
    • To delete a template item, click the 'x' to the right of the item heading.
    • To delete a template section, click the 'x' to the right of the section heading. Click Delete to confirm your decision to delete the section.
    • To add an item, click into the empty row beneath the section's last inspection item (see following image).
      Note: You can use a drag-and-drop operation to reorder items in an inspections section.
    • To add a Section, click + Add section to add a section to your inspection template. Enter a title for your section. When you are done, simply click out of the section.

  4. Click Update to save your changes.

Step 2: Add the Inspection Template to a Project

The inspection template needs to be added to the Project level Inspections tool in order for it to be used on that project.

  1. Navigate to your project's Inspections tool.
  2. Click the Configure Settings icon .
  3. Click the Templates tab.
    Note: For more information on configuring your advanced settings, see Configure Advanced Settings: Inspections.
  4. Click the + Add Company Templates button.
    Note: This button will be disabled if you have not first Created a Company Level Inspection Template.
  5. Click the checkbox next to one or many company inspection templates to use on this project.
    Note: To narrow your options down, filter templates by Type or Trade by clicking the Add Filter drop-down. Only templates that you haven't added to your project will appear here for you to select.
  6. Click Add Templates.
    Note: Project templates may be modified here throughout the duration of the project, but changes will only be reflected on project inspections that are created from the modified template.

Step 3: Optional. Edit the Inspection Template at the Project Level

If you want to make changes to the inspection template that will only impact one project the template is used on, we recommend editing the inspection template at the Project level after you have added it to your project.

  1. Navigate to your project level Inspections tool.
  2. Click the Configure Settings icon.
    This reveals the Project Inspection Templates page.
  3. Click Edit next to the inspection template that you want to edit.
  4. Under General Information, edit any of the following:
    • Name: Title your inspection. This will show up on your inspections log page and will help you differentiate between your inspections within your project. This is a required field.
    • Type: Choose from the list of inspection types added to the company (e.g. Safety). (Note: If you have not added inspection types to your project, see Configure Advanced Settings: Company Level Inspections. You will need to have 'Admin' level permissions on the Company level Inspections tool.)
    • Trade: (optional) Give your inspection a trade (e.g. Electrical, plumbing). (Note: Your company's trade list can be managed at your company level's Admin tab under 'Trade Configuration.) 
    • Description: (optional) Include any relevant details about the inspection.
    • Attachments. Attach any relevant files to the templates by clicking Attach Files. 
      Note: If you try to create an inspection template without a name or with a name that already exists, there will be an error message details the reason. You can create an inspection with the same name as one in the Recycle Bin, but once you name it the same, you cannot restore a template in the Recycle Bin without first editing an inspection template to change the name.)
  5. Select the desired Standard Response Phrasing from the following options:
    Note: The response phrasing you select will apply to ALL items in this template, including items in previous inspections created from this template.
    • 'Pass' and 'Fail': Select this set to enable team members to choose between the responses 'Pass' and 'Fail' when performing the inspection.
    • 'Safe' and 'At Risk': Select this set to enable team members to choose between the responses 'Safe' and 'At Risk' when performing the inspection.

  6. Add sections and items to your inspection as follows:
    • + Add section: Click this link to add a section to your inspection template. Fill in the field with the title of your section. When you are done, simply click out of the section. 
    • + Add item: Click this link to add an item under your current section.
      Note: You can drag and drop items in any order you wish after you make more than one.
    • + Add Item Details: Click the details field under an inspection item. Add relevant details as needed.
      Note: This field only exists at the Project level.
  7. Select a response type for your inspection items. Choose from the following options:
    • Default: Users can respond to items by selecting Pass/Safe, Fail/At Risk, or N/A.
    • Number: Users can respond to items in the form of any positive or negative number up to 15 characters.
    • Text: Users can respond to items with free-form text. There is no character limit to text responses.
    • Date: Users can respond to items by adding an appropriate date.
    • Multiple Response Set: Users can respond using options specific to the multiple response sets created for your company. See Create a Multiple Response Set for Inspections.
  8. After adding your first section, press the TAB key on your keyboard to save the current section and add a new one below it. Use the Enter key to save the current item you're on and add an item below it.
    Note: You can delete any section or item by clicking the x to the right of each section. You can reorder individual items within a section or you can reorder whole sections of your template by dragging your item/section by the icon with three horizontal lines.You will not be able to delete any fields that is created at the Company level.
  9. When you are done with your inspections template, click Update.

Step 4: Perform the Inspection

  1. Navigate to your project's Inspections tool.
  2. Click View next to the inspection you wish to perform. (Note: You will notice a number after the title of your inspection. This number denotes the number of the type inspection you are performing. For example, if you have 7 inspections in Windows inspections, and you wish to create and perform another windows inspection, you will see 'Windows #8' as the title of the inspection for organizational purposes.)
  3. Scroll down to your first section. As you perform your inspection, mark the items/sections according to its accompanying response option.

  4. If you're performing an inspection that includes a section that is no longer applicable to the project, toggle the Mark section as N/A on to mark all inspection items in that section as N/A. Any previously marked inspection items in that section will be overridden with N/A, and the section will be collapsed. Expand the section again be clicking the caret on the right, or turn off the toggle by clicking it again. This will give the items in the section no status, and the history will reflect the status changes. 
  5. When you mark an item as Fail or At Risk,  you can add a comment that explains your response. You can also attach any related documents or photos, as necessary.
    Note: Any changes you make to this page will be automatically saved.
  6. As you perform the inspection, the percentages at the top of the page will provide a break down of your responses.

Step 5: Close the Inspection

Once the inspection has been performed, the final step is to close the inspection.

  2. Click View next to the inspection you wish to close. 
  3. Click the orange Close button in the right.
