Add Sub-Tier Subcontractor Information to Commitments

Objective

To add sub-tier subcontractor information to a commitment as an invoice administrator

Background

General contractors typically need to disclose information about everyone hired to work on a construction project to the property owner. This not only includes collecting disclosures and lien waivers from the project's first-tier subcontractors, but also collecting information from sub-tier subcontractors and suppliers. Disclosures may also be legally required by a project owner or a regulatory body. To promote transparency and ensure accountability on the job site for companies using Procore Pay, users with invoice administrator permissions in Procore can add sub-tier information directly to a commitment. 

Things to Consider

Steps

  1. Navigate to the Project level Commitments tool. 
  2. Click the Lien Rights tab in the subcontractor invoice. 
  3. Click Add Sub-Tier.
    This opens the Add a Sub-Tier window. 
  4. Enter the following information:
     Note
    An asterisk (*) indicates a required field. 
    • Sub-Tier Company Name.* Type a name for the sub-tier subcontractor. 
    • Waiver Status. Select Active or Inactive from the drop-down list. 
    • Estimated Contract Amount.* Enter the estimated contract amount for the sub-tier for this commitment. 
    • Amount Billed to Date. Procore calculates the current 'Amount Billed to Date' If there are any amounts entered for this sub-tier from any previous subcontractor invoices for this commitment. 
    • Last Notice Received On. Select a date from the calendar control to show the date the last notice was received.
    • First Date on Project. Select a date from the calendar control to show the first date the sub-tier subcontractor worked on the project. 
    • Last Date on Project. Select a date from the calendar control to show the last date the sub-tier subcontractor worked on the project.
    • Notes. Enter any comments about the sub-tier. This is a free-form text entry field. 
  5. Click Attach Files or drag-and-drop a file to upload up to one hundred (100) file attachments in Portable Document File (PDF) format. The files that you upload here serve as the 'Notices'. 
     Note
    • When you upload a file attachment, it immediately appears in the document viewer. If you upload the file, the most recent upload appears first in the document viewer. 
  6. Click Save
