Export RFIs

Objective

To export a list of RFIs or a single RFI from the project's RFIs tool.

Background

The RFIs tool lets you export the records in your project's RFIs tool to two (2) file formats: CSV or PDF. You also have the choice between exporting the entire RFI list for a project or exporting the information in a single RFI. 

Things to Consider

  • Required User Permissions:
    • 'Read-only', 'Standard', and 'Admin' level permission on the project's RFIs tool.
  • Supported Export File Formats:
    • Comma-Separated Values (CSV). This format is supported only for the RFIs list. 
    • Portable Document Format (PDF). This format is supported for both the RFIs list and individual RFIs.

Steps

Export the RFIs Log to PDF or CSV

  1. Navigate to the project's RFIs tool.
    (Note: If you apply one or more options in the 'Filter RFIs By' menu to narrow the data appearing in the log, the data in the exported file will also reflect the selected filters). 
  2. Click one of these options:


     
    • Export > PDF. Click this button to download a listing of all the RFIs in the project to a single PDF file. 
      (Note: The PDF file provides a print out summarizing all of the RFI records that match the filters set in the 'Filter RFIs By' menu. Each RFI line item includes these data columns: Subject, Responsible Contractor, Assignee Date, Initiated Due Date, Closed Date, Schedule Impact Days, and Cost Impact). 
      OR
    • Export > CSV. Click this button to download a summary list of all the RFIs in the project to a single CSV file.
      (Note: The CSV file provides a list that summarizes all of the RFI records that match the filters selected in the 'Filter RFIs By' menu. Each row in the file includes these data columns: #, Created By, Initiated At, Assigned, Due Date, Subject, Responsible Contractor, Received From, Cost Impact, Cost Impact Value, Schedule Impact, Schedule Impact Value, Drawing Number, Reference, Closed Date, Cost Code, Location, Closed?, Ball In Court, Latest Assignee Response Date, and Private).  

Export an Individual RFI to PDF

  1. Navigate to the project's RFIs tool.
    This reveals the RFIs page. 
  2. Locate the RFI to export and click View.
    This opens the individual RFI in view mode. 
  3. Click Export > PDF.


     
  4. The system generates a PDF file of the individual RFI.
    Note: An individual RFI includes the following information (if the data was entered in available in the RFI record): To, Date Initiated, Location, Cost Code, Cost Impact, Drawing Number, Linked Drawings (with a link to view the drawing in Procore), Custom Fields (1 & 2), Received From, Copies To (who the RFI was emailed to using the orange Email button), From, Status, Due Date, Reference, Schedule Impact, Spec Section, Question, Official Responses (if available, otherwise 'Awaiting official response' appears).
