Export the RFIs List to CSV or PDF

Objective

To export a list of the RFIs on a project to the CSV or PDF file format.

Background

The RFIs tool lets you export the records in your project's RFIs tool to two (2) file formats: CSV or PDF. You also have the choice between exporting the entire RFI list for a project or exporting the information in a single RFI.
Note: If you want to view the official response and/or any replies for all of your project's RFIs (formerly, the RFIs Question and Responses Report), choose Export > PDF - All Responses when following the steps below.

Things to Consider

  • Required User Permissions:
    • 'Read-only', 'Standard', and 'Admin' level permission on the project's RFIs tool.
  • Supported Export File Formats:
    • Comma-Separated Values (CSV). This format is supported only for the RFIs list. 
    • Portable Document Format (PDF). This format is supported for both the RFIs list and individual RFIs. 
  • Additional Information:
    • If you want to view the official response and/or any replies to an RFI, you must Export an RFI to PDF.
    • If you want to download all of the RFIs for a project, users with the appropriate permissions can extract the RFI information using the Project level Admin tool (see Extract Project Information) or Company level Admin tool (see Extract Project Information). This is useful when you want to print all of the RFIs in a project. 

Steps

  1. Navigate to the project's RFIs tool.
    This reveals the RFIs page. 
    (Note: If you apply one or more options in the 'Filter RFIs By' menu to narrow the data appearing in the log, the data in the exported file will also reflect the selected filters). 
  2. Click one of these options:


     
    • Export > PDF - All Responses. Downloads a PDF that include all replies to the RFI. This includes all the RFIs Questions and Responses in the export file. 
    • Export > PDF - Official Only. Downloads a PDF that includes only the official response to the RFI (see Choose an "Official Response" for an RFI.
    • Export > CSV. Click this button to download a summary list of all the RFIs in the project to a single CSV file.
      (Notes:
      • The PDF file summarizes all of the RFI records that match the filters set in the 'Filter RFIs By' menu. Each RFI line item includes these data columns: #, Subject, Status, Responsible Contractor, Assignee, Date Initiated, RFI Manager, Due Date, Closed Date, Ball In Court, Location, Schedule Impact Days, Cost Code, Cost Impact and Received From. 
        OR
      • The CSV file provides a list that summarizes all of the RFI records that match the filters selected in the 'Filter RFIs By' menu. Each RFI line item includes these data columns: #, Created By, Initiated At, RFI Manager, AssignedDue Date, SubjectResponsible Contractor, Received From, Cost Impact, Cost Impact Value, Schedule Impact, Schedule Impact Value, Drawing Number, Reference, Closed Date, Cost Code, Location, Closed?, Ball In Court, Latest Assignee Response Date, and Private.
