Below are the notable changes to the project's Correspondence tool in 2021.
Select Multiple Schedule Tasks on Correspondence Items (12/15/2021)
Procore has added the ability for users with the appropriate permissions to select multiple schedule tasks to associate with a correspondence item when the item is created or updated. See Create a Correspondence Item and Edit a Correspondence Item.
Link Existing Correspondence Items and RFIs to Correspondence Items (12/10/2021)
Procore has added two new fields to correspondence items: 'Origin Correspondence' and 'Origin RFI'. Existing correspondence items and existing RFIs can be selected in these fields when creating or editing correspondence items. See Create a Correspondence Item and Edit a Correspondence Item.
New 'Correspondence Item Closed' Email Notification (12/09/2021)
Procore has added a new email notification to alert users when a correspondence item is closed in the project's Correspondence tool. This email notification is sent to the item's creator, Assignees, Distribution List members, and the user in the item's 'Received From' field. New Columns Added for Custom Correspondence Reports (12/03/2021)
Users can now include 'Last Activity', 'Responded By', and 'Signed At' in custom Correspondence reports created in the Company level and Project level Reports tools. See Create a Custom Project Report and Create a Custom Company Report.
New Template Correspondence Types (12/03/2021)
Procore has added new template correspondence types to the Company level Admin tool based on popular construction use cases and recommended practices. These template correspondence types have unique default fieldsets and can be added to one or more projects after a user with the appropriate permissions adds them to your company's Procore account. 'Sub Job' Filter and Column Added to Correspondence List (12/01/2021)
Procore has added a 'Sub Job' filter and a sortable column to the project's Correspondence tool to allow users to narrow the list of correspondence items by their associated sub jobs. See Search, Sort, and Filter Correspondences. Note that the 'Sub Job' column is hidden by default. See Customize the Column Display in the Correspondence Tool.
Paperclip Icon Added to Correspondence List (11/18/2021)
Procore has added a paperclip icon to the List and Archive tabs in the project's Correspondence tool to show which items have had one or more attachments added in the 'Attachments' field. Note: The paperclip icon does not display when attachments are added to responses in the 'Activity' section of correspondence items.
'Sub Job' Field Added to Correspondence tool (11/10/2021)
A new Sub Job field has been added to the project's Correspondence tool. Users with the appropriate permissions can add this field or update its visibility or requirement status in a correspondence type's configurable fieldset. See Edit Configurable Fieldsets. Note: Sub Jobs must be enabled on a project to use this field. See Enable Sub Jobs.
'Schedule Task' Field Added to Correspondence Tool (11/04/2021)
A new Schedule Task field has been added to the project's Correspondence tool. Users with the appropriate permissions can add this field or update its visibility or requirement status in a correspondence type's configurable fieldset. See Edit Configurable Fieldsets.
Updates to Creating and Linking Correspondence Items (10/27/2021)
When creating and linking a new correspondence item from an existing correspondence item or an existing correspondence item's response, the Description field for the new correspondence item will match the Default Description associated with its correspondence type. See Configure Advanced Settings: Correspondence, Create and Link an RFI, Change Event, or a Different Correspondence Item to an Existing Correspondence Item, and Create and Link a New Correspondence Item from a Correspondence Response. Additionally, correspondence items created and linked from a 'Closed' correspondence item can now be created as 'Draft' or 'Open'.
'File Uploads' Custom Field Type Now Available for Correspondence Tool (10/26/2021)
Users can now select 'File Uploads' as a field type when creating custom fields for the project's Correspondence tool. See Create New Custom Fields.
New 'Trade' and 'Location' Filters (10/20/2021)
Procore has added two new filters ('Trade' and 'Location') to the project's Correspondence tool that allow users to narrow the list of correspondence items by the trade or by the location associated with the correspondence items. See Search, Sort, and Filter Correspondences.
Advanced Search Symbols Now Supported in Correspondence Tool (10/07/2021)
When searching for items within the project's Correspondence tool, users can now use Procore's advanced search symbols to adjust the search results. See What is an advanced search symbol in Procore? and Search, Sort, and Filter Correspondences.
Configure Columns and Sort Correspondence List by Supported Custom Fields (09/07/2021)
Procore has added a feature that allows users to show, hide, or rearrange columns on the project's Correspondence tool. See Customize the Column Display in the Correspondence Tool. Columns from supported custom fields (excluding 'Rich Text (Long)' and 'Read Only Entry' custom fields) can also be shown, hidden, or rearranged. Additionally, columns with data from 'Number', 'Date', 'Checkbox', and 'Plain Text (Short)' custom fields can be used to sort the list of correspondence items. Create New Correspondence Items from Existing RFIs (08/23/2021)
Procore has added a feature that allows users with the appropriate permissions to create new correspondence items directly from an RFI. See Create a Correspondence Item from an RFI. By linking items between the project's Correspondence and RFIs tools, this feature helps improve efficiency and allows for greater traceability.
New 'Responded By' and 'Last Activity' Filters Added to Correspondence Tool (04/07/2021)
Users can now filter a project's list of correspondence items by who added a response to correspondence items with the 'Responded By' filter and by the date the most recent response was added to correspondence items with the 'Last Activity' filter. See Search, Sort, and Filter Correspondences.
Create 'Draft' Correspondence Items from Procore for Outlook Integration (03/17/2021)
Users with the Procore for Outlook integration and the appropriate permissions to create a correspondence item can now create 'Draft' correspondence items from their Outlook emails.
'Responses' and 'Official Responses' Columns Added to Custom Reports for Correspondence Tool (03/16/2021)
Users can now include 'Responses' and 'Official Responses' in custom Correspondence reports created in the Company level and Project level Reports tools. See Create a Custom Project Report and Create a Custom Company Report.
Create and Link New Correspondence Items from Responses on Other Correspondence Items (03/11/2021)
Users can now create and link a new correspondence item from a response on another correspondence item. The new correspondence item will automatically include the following information from the source correspondence item and its response: the source item number and response number (added to the new item's Subject field), the person who posted the source response (added to the new item's Assignee field), the full details of the source response (added to the new item's Description field), and any attachments that were uploaded in the source response. The Correspondence Tool Now Supports Creating Custom Sections at the Company Admin Level (01/28/2021)
The Correspondence tool now supports custom sections that can be created at the company admin level when modifying a fieldset and adding custom fields. A custom section is a separate grouping of 1 or more custom fields. The section name is defined by the user and is respected on web, export PDF and mobile.
