Redistribute a Submittal

Objective

To edit a previously distributed submittal and distribute it again to all key stakeholders. 

Background

If you previously distributed a submittal after it was approved, you may need to redistribute it again at a later time. For example, you can redistribute a submittal when you need to include a person that was not on the original distribution list, attach a different or new file, or add/delete comments. You can redistribute the submittal as many times as necessary to ensure that all persons have been properly notified and have the most recent information pertaining to the submittal.

Things to Consider

  • Required User Permission: 'Standard' or 'Admin' level permissions on the Submittals tool. 
  • For the Redistribute link described in the steps below to become visible and available for use, you must first complete the steps in Distribute a Submittal.
  • A submittal can be redistributed an unlimited number of times. 
  • When a submittal is redistributed, it is distributed to members designated on the submittal's distribution list. 

Steps

  1. Navigate to the project's Submittals tool. 
  2. In the submittals log, click the View button that corresponds to the submittal you want to redistribute.
    (Tip: To quickly locate submittals that have previously been distributed (remember, a submittal must be distributed before you can redistribute it), a date must be recorded in an item's Distributed Date column.)
  3. Click View next to the submittal you want to redistribute. 
  4. Click the Redistribute link.



    (Note: A Wizard appears to guide you through the preparation steps. For step-by-step instructions, see Using the Submittal Distribution Wizard.)
  5. In the Step 1: Select Which Response(s) You Wish To Distribute page, place a check mark next to the responses to include. Then click Next Step
  6. In the Step 2: Prepare Distribution page, select the names of any new recipients.
    (Note: By default, the system automatically includes the designated recipients (i.e., any users who previously received the distribution). Click the 'x" icon to remove any of these recipients as needed.)
  7. Place or remove the checkmarks from the Include Comment? and/or Include Attachments? boxes as needed. 
  8. Update the information in the Message box.
  9. Attach any files as desired. Then click Next Step
  10. Review the outgoing submittal to be redistributed. If you are satisfied with the preview, click Distribute.
