Edit a Submittal Response

Objective

To input a response for reviewer designated in the submittal workflow when the Submittals tool is configured for sequential approval

Background

Use these steps when a reviewer is unable to input his or her submittal response. For example, if the reviewer is on travel and provides you with a verbal confirmation about their response, a user with 'Admin' level permissions can input that response on the reviewer's behalf.

Things to Consider

  • Required User Permission:
    • 'Admin' level permissions on the project's Submittals tool.
  • Requirements:
    • To edit a response, the submittal must be in the Open status.
  • Additional Information:
    • If the project is using sequential approvalthe Forward for Review option is available. See Forward a Submittal for Review (Sequential Approval). This option is not available with parallel approval
    • If the project is using sequential approval, the Edit Response link appears next to the name of all reviewers on the workflow who have not submitted a response. 
    • If the submittal is in the Closed status (or if a reviewer has submitted a response), locate the reviewer's name in the workflow and then click the Set as Ball In Court link. This gives you the ability to edit the reviewer's response. After editing their response, any subsequent reviewers in the sequential approval sequence must review the submittal again and submit a new response. 
    • If your company has created custom submittal responses for use with the project's Submittals tool (see Create Custom Submittals Responses), the responses have been customized to fit the specific needs of your organization. See your company's Procore Administrator or the Submittals Manager for information about the proper use for each response on your project.

Steps

  1. Navigate to the project's Submittals tool.
  2. Locate the desired submittal and click the View button.
  3. In the View page, scroll to following section:
    • If sequential approval is enabled (this is the default setting), scroll to the 'Submittal Workflow' section.

      OR
    • If parallel approval is enabled, scroll to the 'Approver Responses' section.

  4. Next to the reviewer's name, click Edit Response.
  5. Modify the original response as necessary:
    • If sequential approval is enabled (this is the default setting), select the desired response. 
    • If parallel approval is enabled, the Forward for Review option is not available. However, you can select any other response.
    • ​You can also change the response date and the sent date of the approver. (Note: If the submittal is in the Closed status, it cannot be edited. See Things to Consider above.)
    • If your company has created custom submittal responses for use with the project's Submittals tool (see Create Custom Submittals Responses), the responses have been customized to fit the specific needs of your organization. See your company's Procore Administrator or the Submittals Manager for information about the proper use for each response on your project.
