Publish a Custom Report

Objective

To share a custom report with other people in your project. 

Background

You can publish a report so that users with 'Admin' permissions and others can view the report. When the toggle is set to Published, and no users are listed below, only users with 'Admin' permissions to the Report tool can view the report. If you want users with 'Standard' or 'Read-only' permissions to be able to view the report, you'll need to list them in the Add Others section. When the report is unpublished, only you, the creator of the report, can view and edit the report.

Things to Consider

  • Required User Permissions: 'Admin' on the project level Reports tool. 
  • When you share a report, the report will still be filtered by user permissions. So if a user does not have access to a certain tool, they will not see that tool on the shared report. 

Steps

  1. Navigate to the project's Reports tool. 
  2. Click the report you want to share.
  3. Move the toggle to Publish Report
  4. To publish the report and share it with others, drag the button next to 'Unpublished' so the text reads 'Published.' Now the report is available to all users who have 'Admin' level access on the Reports tool.
  5. If you want to share the report with any users who do not have 'Admin' level access on the reports, you can add them in the field below. All users listed will receive a notification email that they have been given access to the report.

  6. Click Save to publish the report to these users.
