Approve or Reject a Disbursement with a Custom Payments Workflow

Objective

To approve or reject a disbursement for Procore Pay with a custom Payments Workflow. 

Background

When using Procore Pay with the Company level Workflows tool, your company can create an approval workflow where assignees to response steps can approve or reject a disbursement.

Things to Consider

  • Required User Permissions
  • Additional Information:
    • To be designated as a 'Payments Admin' or 'Payments Disburser, users must be your company's employees in Procore. See, How do I add someone as an employee of my company? 
    • To view project invoices, users with 'Standard' or 'Read Only' on the company's Admin tool must have 'Read Only' level permission or higher on the project's Commitments tool. 

Steps

  1. Navigate to the disbursement with the Payments workflow in Procore Pay. 
     Tip
    How do I navigate to the disbursement? You can navigate to the item in Procore by clicking the 'Take Action in Procore' button in the workflow notification email. You can also navigate to the item by clicking the Disbursements tab in the Company level Payments tool. 
  2. In the right pane, review the 'Current' workflow step. 
    Note: Click 'Show Workflow' if the side panel is collapsed.
  3. Click Respond at the bottom of the right pane. 
    Note: You will have an opportunity to cancel your response in the next step.
  4. In the right pane, select an option from the Response drop-down list. Typically, Approve or Reject. The custom workflow in your environment may have different options. 
  5. Optional: Upload or attach files to the workflow. 
  6. Optional: Enter a reason for your response.
  7. Choose from these options:
    • Click Submit.
      OR
    • To change your response, click Back.
