Add a Sage 300 CRE® Vendor to Procore's Company Directory

Objective

To add a Sage 300 CRE vendor as a new company in your Procore account's Company level Directory.

Background

If you cannot link a Sage vendor to an existing company in your Procore directory, but you plan to use that Sage vendor in future construction jobs managed in Procore, you can create a new company entry for that vendor in your Procore account's Company level directory.

Things to Consider

  • Required User Permission:
    • 'Admin' level permission on the company's Directory tool.
  • Prerequisites:
    • Important! Before adding a vendor from Sage 300 CRE to Procore, always check to make sure that a matching vendor record does NOT already exist in Procore. If you do not perform this check, you might end up with duplicate or unlinked vendor/company entries. See Link a Sage 300 CRE Vendor to a Procore Company.
  • Additional Information:
    • New company entries automatically inherit the appropriate Sage 300 CRE Vendor ID. 
    • If a vendor is marked as 'Inactive' in Sage 300 CRE , you can view it by clicking the 'Archived' link in the Filter Vendors By menu in the sidebar of the Vendors subtab after the data is synced. 
      • If you have enabled the ERP Integrations tool for Sage 300 CRE , the following insurance fields in a Procore company record are now locked when Procore's data synced with Sage 300 CRE. You must make these updates in the integrated ERP system: Insurance Type (e.g., General, Automotive, Umbrella, and Worker's), Effective DateExpiration DateLimitName, and Policy Number
        Note:  During the Implementation Process, you Procore point of contact will work with your company's Procore Administrator to determine whether or not your system will be configured to sync vendor insurance information from Sage 300 CRE into Procore. 

Steps

  1. Navigate to the company's ERP Integrations tool. 
    This reveals the Sage 300 CRE  Integration page. 
  2. Click the Vendors tab. 
  3. In the Filters menu, make sure the Ready to Import link is selected.
    This reveals the Vendors Only in Sage 300 CRE page. 
  4. Choose from these options:
    • If you want to add the vendor from Sage 300 CRE into Procore's' Company Directory as a new company/vendor record, click Add to Procore. Then continue with the next step. 
      OR
    • If you want to link the vendor record in Sage 300 CRE to a company that already exists in Procore, see Link a Sage 300 CRE Vendor to a Procore Company
  5. Repeat the above step for each vendor in the list. 
    When the system imports the Sage 300 CRE vendor into Procore, its company and any insurance information from Sage 300 CRE is imported.
