Company Vehicle Checkout

Objective

To address the checking out of company vehicle whether it is a company car or truck that is located at the office. 

Background

Request is placed to Tool / Equipment department either verbally, texting or email.  All correspondence should include what vehicle is needed, when it is needed, when it will be returned and where the vehicle is going to be driven to, and who will be the driver responsible for checking the vehicle out. More notice that you give the department the better chance that your request can be met.  There are no guarantees that a vehicle will be available when requested. 

Things to Consider

 Company vehicles are to be driven by authorized personnel only. Authorization requires a current, valid driver’s license and a Motor Vehicle Record Check. A driving record that fails to meet the necessary criteria will result in the loss of the privilege of driving a company vehicle. Loss of privilege may result in a lower mileage reimbursement rate on personal vehicle mileage. 

Drivers must report all ticket violations received during the operation of a company vehicle within 24 hours to the Human Resources Department. 

Drivers should report any malfunctions to the Tool Department as soon as it appears. 

Mileage logs must be filled out in their entirety including date and time.  Clipboard, mileage sheet and keys are to be placed back in Tool / Equipment department area / desk. 

Vehicles are to be brought back with fuel tank at ¾ or above. 

Vehicles are to be cleaned out of all trash.  Bring it back better than when you left with it. 

Vehicles are to be parked and locked when returning.
