Personal Use of Company Vehicles

Objective

A company vehicle use policy is a legally binding agreement that clearly defines what your business will and won’t allow when an eligible employee uses a company vehicle. Having this policy in place protects the company if an employee gets hurt while using company property or misuses it and causes damage.

Things to Consider

The employee requesting the vehicle is responsible for anything that happens to the vehicle while in your use. This could include an insurance deductible if an accident were to occur while an employee would be using it for personal use.

Personal use of company vehicles is a privilege.

There is NO SMOKING in company vehicles!!  A cleaning bill will incur if smoking does occur.

There will be a $50.00 cleaning fee charged for trucks returned with trash and miscellaneous items left in the cab or box.

All trucks will be equipped with tie-down straps in the cab. These must be returned with  truck to avoid being charged for replacing them.

Personal use of a company vehicle includes running personal errands, using the vehicle on the weekends or for vacation.  Allowing another person other than a company employee is prohibited.

Steps

Contact the Tool/Equipment Department for availability.

Things Tool/Equipment Department need to know:

                   Who is driving the vehicle?

                    When you need the vehicle.

        For how long you need the vehicle.

        What are you using the vehicle for.

Once the vehicle is in your possession. The vehicle is your responsibility.

You are responsible for fuel in the vehicle.  Vehicle is to be brought back with the same amount of gas it left with.

If you get in an accident, you are responsible for paying the insurance deductible.

Drivers must adhere to all policies noted in the Vehicle Policies in the employee manual. (link below)

You will receive a mileage sheet and it must be filled out date, time in and out, driver, job(personal), mileage start and end.
