Submittal Builder with AI: Generate Submittals from Specifications

Background

This version of the Submittal Builder uses AI to automatically create a submittal registry from the specification book. Besides pulling in requirements from 'Submittals' areas, it can identify submit requirements in less obvious areas, such as 'Warranty.' This builder also predicts the type and title of each submittal by looking at your company's configured submittal types, as defined in your Company Admin tool. 

Things to Consider

  • Required User Permissions     
  • At this time, the Submittal Builder with AI is only available in English to Enhanced and Premier Procore accounts in the United States, Canada, and Australia.
    • Procore Essentials accounts in the United States, Canada, and Australia have access to our original Submittal Builder tool. 

Prerequisites

  • There must be specifications in the Specifications tool. See Upload Specifications
  • The specification sections you want to upload must be PDFs, and vector PDFs may yield better result than raster PDFs. 
  • Ensure all default and custom submittal types in the Company Admin tool have clear descriptions. This provides the AI with the necessary context to accurately predict and assign types during the generation process.

Steps

  1. Navigate to the project's Specifications tool.
  2. Mark the checkboxes next to the specification sections you want to pull submittals from.
  3. Click Generate Submittals.
    Note: If any sections were processed previously, the AI will flag potential duplicates, allowing you to include or exclude them from the new batch.
  4. Click Review in the pop-up window when processing is complete. 
  5. Review and modify each submittal candidate using the 'Review and Modify Submittal Candidates' procedure below. 
  6. Optional: Click Export to download the candidates to a CSV/Excel file for bulk editing before re-importing.
  7. Click Confirm to create these submittals.
    Note: The Submittal Manager field is required.
  8. Repeat these steps until you have reviewed all of the new submittals. 
  9. Create or edit the submittal package.

Review and Modify Submittal Candidates

  1. Click a spec section in the list on the left.
  2. If needed, view the spec section PDF. Opening the spec section PDF will not disrupt your work in the Submittal Builder.
    Note: View the spec section to easily add additional submittals to the submittal builder by Highlighting to add Submittals to the Submittal Builder.
  3. Procore predicts the Type,  Description, and Title fields. Review these fields for accuracy. See Submittal Builder: Configure Submittal Titles.
  4. Add any submittals by clicking the Add button. See Submittal Builder: Add Submittals.
  5. Click the Duplicate duplicate submittal in submittal builder.png button to create an additional submittal with the title, type, and description of the one you're duplicating.
    Click the Delete delete submittal in submittal builder.png icon to delete the selected submittal.
  6. Add or edit the Submittal Manager per spec section. By default, Procore will populate this field with the default submittal manager set in the Submittal Configurations page. See What is the submittal manager role?
  7. Once you've added all of the information you need for this spec section (the Submittal Manager field is required), click Confirm to create submittals based off of this spec section.
