Update Bid Documents

Objective

To update documents and drawings that are included in your bid package. 

Things to Consider

  • Required User Permission: 'Admin' on the project's Bidding tool. 
  • Bid packages show a static snapshot of the attached documents, drawings, and specifications from the date and time they were attached (as shown in the timestamp).
  • If you have made updates to your Bid documents outside of your bid package (e.g. from the Documents, Specifications, or Drawings tool), you will see a banner that informs you changes were made to these documents when you return to the bid package. You can then update the bid documents in your bid package to match the updates made outside the bid package by clicking Update.
    (Note: Links to Bid Documents found in a Bid Invitation email will update when the Update button in the banner is clicked).

    • You will see the banner in the following cases:
      • New document revision is added to the Bidding folder in the Documents tool.
      • New documents are added to the Bidding folder.
      • Drawing revisions are added to the attached set.
      • Specification revisions are added to the attached set.
    • You will not see the banner in the following cases:
      • Drawings are deleted from the attached set.
      • Specifications are deleted from the attached set.
      • Documents are deleted from the attached folder.
      • All associated documents are deleted from the attached folder.
      • All associated drawings are deleted from the attached folder.

Steps

Note: The following steps outline how to attach completely new documents and drawings to your bid package (as opposed to updating them to match updates made outside of the bid package as described above).

  1. Navigate to your project's Bidding tool.
  2. Click Edit next to the Bidding package you want to update Bidding documents for.
  3. Remove the attachments you want to update.
  4. Re-attach the drawings or documents.
  5. Once you have made your changes, click Update Bid Package
    (Note: If you deleted drawings, documents, or specifications from the bid set or bid documents attached to the bid package, clicking Update in the refresh banner will not delete those items. To reflect any deletions, edit the bid package, delete the set, reattach it, and click Update.)
  6. Send a New Correspondence in the Bidding Tool to inform your bidders of the change. Companies who already received your bidding invitation will have a link to the original bid documents, so you will need to create a correspondence to alert them of the change. Companies who have not yet been invited to bid will see the updated bid documents.
