Create a Workforce Assignment
Objective
To create a workforce assignment in Workforce Planning.
Background
Assignments allow you to manage your workforce by assigning resources to projects.
Assignments can also be used for forecasting and planning future work. You can keep these assignments private until you are ready to notify the assignee or other members of your team.
You can also make assignments to fill workforce requests. See Fill a Workforce Request.
Things to Consider

- You can manage user visibility of assignments with assignment request statuses. See Configure Assignment Request Statuses for Workforce Planning.
- To make multiple assignments with the same details, you can use the rapid assign tool. See Create Workforce Assignments Using Rapid Assign.
Prerequisites
- If you are adding information for the following, you need to configure settings in advance:
- 'Category' or 'Subcategory'. See Configure Project Categories for Workforce Planning.
- 'Job Title'. See Configure Job Titles for Workforce Planning.
- 'Status'. See Configure Assignment and Request Statuses for Workforce Planning.
- 'Tags'. See Configure Tags for Workforce Planning.
- 'Custom Fields'. See Configure Custom Fields for Workforce Planning.

Steps
You can create new workforce assignments from the following places in Workforce Planning. You can also make assignments to fill workforce requests. See Fill a Workforce Request.
Create a Workforce Assignment from the Assignments List
- Navigate to the Company level Workforce Planning tool.
- Click Assignments and select Assignments List.
- Click New.
- Complete the assignment information:
- Project. Enter the project that the assignment is for.
- Person. The assignee.
- Category. Enter the category for the assignment.
- Subcategory. Enter the subcategory for the assignment.
- Status. Select the assignment status. See Configure Assignment and Request Statuses for Workforce Planning.
- Working Days. Enter the working days needed for the Assignment.
- Tags. Select the tags for the assignment. See Configure Tags for Workforce Planning.
- Start Day. Enter the date the work assignment starts.
- Date. Enter the specific start date for the assignment.
OR - Project Start. If the assignment starts on the same date as the project, select the project start date.
- Date. Enter the specific start date for the assignment.
- End Day. Enter the date the work assignment ends.
- Date. Enter the specific end date for the assignment.
OR - Weeks. Enter how many weeks the assignment is for.
OR - Project End. If the assignment ends on the same date as the project, select the project end date.
- Date. Enter the specific end date for the assignment.
- Allocation Type. Select whether the Allocation Type is in Hours of Percent. See What is a Workforce Allocation Type?
- Work Hours Start. If you selected 'Hours', enter the time of day the assignment begins.
- Work Hours Start. If you selected 'Hours', enter the time of day the assignment ends.
- Percent. If you selected 'Percent', enter the percent allocated to the assignment
- Overtime. Mark this checkbox to allow overtime for any time that goes over the allotted paid hours per shift. See Configure Costing in Workforce Planning.
- Custom Fields. Enter information for any assignment custom fields. See Configure Custom Fields for Workforce Planning.
- Click Save to save the assignment.

Click the caret icon and select Save and Alert to save the assignment and send an Assignment Alert to the assignee. See What is an assignment alert in Workforce Planning?
Create a Workforce Assignment from the Assignments Boards
On the Assignments Boards, you can either create a workforce assignment using:
Create a Workforce Assignment with the 'New' Button
- Navigate to the Company level Workforce Planning tool.
- Click Assignments and select Assignments Boards.
- Click New.
- Complete the assignment information:
- Project. Enter the project that the assignment is for.
- Person. The assignee.
- Category. Enter the category for the assignment.
- Subcategory. Enter the subcategory for the assignment.
- Status. Select the assignment status. See Configure Assignment and Request Statuses for Workforce Planning.
- Working Days. Enter the working days needed for the Assignment.
- Tags. Select the tags for the assignment. See Configure Tags for Workforce Planning.
- Start Day. Enter the date the work assignment starts.
- Date. Enter the specific start date for the assignment.
OR - Project Start. If the assignment starts on the same date as the project, select the project start date.
- Date. Enter the specific start date for the assignment.
- End Day. Enter the date the work assignment ends.
- Date. Enter the specific end date for the assignment.

Create a Workforce Assignment using drag and drop
- Navigate to the Company level Workforce Planning tool.
- Click Assignments and select Assignments Boards.
- Locate your 'Resource Bench'. See What is the 'resource bench' in Workforce Planning?
- Locate the person you want to assign. See Search, Sort, and Filter People on the Assignments Boards.
- From the 'Resource Bench', use a drag-and-drop operation to move the assignee's name to the project. See What is the 'resource bench' in Workforce Planning?
- Complete the assignment information:
- Project. Enter the project that the assignment is for.
- Person. The assignee.
- Category. Enter the category for the assignment.
- Subcategory. Enter the subcategory for the assignment.
- Status. Select the assignment status. See Configure Assignment and Request Statuses for Workforce Planning.

Create a Workforce Assignment from the Assignments Gantt
- Navigate to the Company level Workforce Planning tool.
- Click Assignments and select Gantt.
- Click New.
- Complete the assignment information:
- Project. Enter the project that the assignment is for.
- Person. The assignee.
- Category. Enter the category for the assignment.
- Subcategory. Enter the subcategory for the assignment.
- Status. Select the assignment status. See Configure Assignment and Request Statuses for Workforce Planning.
- Working Days. Enter the working days needed for the Assignment.
- Tags. Select the tags for the assignment. See Configure Tags for Workforce Planning.
- Start Day. Enter the date the work assignment starts.
- Date. Enter the specific start date for the assignment.

Create a Workforce Assignment from the New Assignments Gantt
Note: Users given assignments in the new modal are also added to the project in the company's Directory.
- Navigate to the Company level Workforce Planning tool.
- Click Assignments and select New Gantt.
- On the list, right click the project, category or subcategory for the assignment and select New Assignment.
Note: You can also hover over the project, category, or subcategory and click the vertical ellipsis and select New Request. - Fill out the 'Details' request information.
- Project. Select the project from the drop-down menu.
- Category. Select the category.
- Subcategory. Select the subcategory.
- Labor. Select the assignee from the drop-down menu.

In Beta
Equipment. Select equipment from the drop-down menu.
The Equipment tool is currently in beta. To add equipment to assignments, your project must have the following configurations:
- The Equipment (beta) tool must be enabled for your project. See Add and Remove Project Tools.
- Equipment records must be added to your project. See Add or Remove Equipment from Projects.
- Data sync must be enabled for projects. See What is data syncing for Workforce Planning?
- Fill out the 'Schedule' information.
- Start Date. Enter the date the work assignment starts.
- End Date. Enter the date the work assignment ends.
- Move the 'Set Assignment by Start Week and Duration' toggle to the ON position. Then enter the Start Time and End Time.
OR
Move the 'Set Assignment by Allocation' toggle to the ON position. Then enter the Percent Allocated for the request. - Work Days. Mark the checkbox for each work day for the request.
- Overtime. If an assignment allows for overtime, move the 'Overtime' toggle to the ON position.
- Enter the 'Overtime Rates' per day of the week.
For example, overtime on a weekday may be 1.5 for time and a half, and 2 for double time on the weekend. - Enter the Pay Split.
- Enter the 'Overtime Rates' per day of the week.
- Fill out the Additional Information. See Configure Custom Fields for Workforce Planning.
- Optional: Enter Scope of Work to describe the scope of work.
- Optional: Enter Assignment Instructions to provide additional instructions.
- Optional: Enter Comments.
- Click Create.
