Create a Resource Request

Objective

To create a resource requests.

Background

Resource requests efficiently inform your team that you need resources for a particular project. Create a resource request when you need a resource but aren't sure who to assign, or if you lack the permissions to create assignments yourself.

After a request is created, a resource can be assigned to fill that request. See Fill a Resource Request

Steps

You can create requests from three (3) places in Resource Planning:

Create a Resource Request from the Requests List

  1. Navigate to the Company level Resource Planning tool.
  2. Click Requests and select Requests List from the drop-down menu.
  3. Click New.
  4. Fill out the 'General' request information.
  5. Optional: Custom Fields. Enter information for any request custom fields. See Configure Custom Fields for Resource Planning.
  6. Optional: Select Scope of Work to describe the scope of work.
    Note: Information entered here is automatically added to the assignment alert for the assignee who is fulfilling the request. See What is an assignment alert in Resource Planning?
  7. Optional: Select Assignment Instructions to provide additional instructions.
    Note: Information entered here is automatically added to the assignment alert for the assignee who is fulfilling the request. See What is an assignment alert in Resource Planning?
  8. Optional: Select Comments to add any comments. 
    Note: Information entered here is NOT added to any assignment alerts. See What is an assignment alert in Resource Planning?
  9. Click Save.

Create a Resource Request from Assignments Boards or Gantt (Legacy)

  1. Navigate to the Company level Resource Planning tool.
  2. Click Assignments and select Boards or Gantt (Legacy) from the drop-down list.
    OR
    From the Project Name heading bar, click the ellipsis icon-ellipsis-wfp.png, and select Create Request.
  3. Under the desired project, click the ellipsis icon-ellipsis-wfp.png, and select Create Request.
  4. Fill out the 'General' request information.
  5. Optional: Custom Fields. Enter information for any request custom fields. See Configure Custom Fields for Resource Planning.
  6. Optional: Select Scope of Work to describe the scope of work.

  7. Optional: Select Assignment Instructions to provide additional instructions.

  8. Optional: Select Comments to add any comments.

  9. Click Save.

Create a Resource Request from Assignment Gantt

 In Beta
This feature is in beta and available for customers using the Resource Planning tool.
  1. Navigate to the Company level Resource Planning tool.
  2. Click Assignments and select Gantt (Beta).
  3. On the list, right click the project, category or subcategory for the assignment and select New Request.
    Note: You can also hover over the project, category, or subcategory and click the vertical ellipsis icon-ellipsis-vertical.png and select New Request.
  4. Fill out the 'Details' request information.
    • Job Title Needed. Select a Job Title from the drop-down menu.
    • Quantity. Select how many of these requests should be created.
    • Project. Select the project from the drop-down menu.
    • Category. Select the category.
    • Subcategory. Select the subcategory.
  5. Fill out the 'Schedule' information.
    • Start Date. Enter the date the work assignment starts.
    • End Date. Enter the date the work assignment ends.
    • Move the 'Set Assignment by Start Week and Duration' toggle ON icon-toggle-on.png. Then enter the Start Time and End Time.
      OR
      Move the 'Set Assignment by Allocation' toggle ON icon-toggle-on.png. Then enter the Percent Allocated for the request.
    • Work Days. Mark the checkbox for each work day for the request.
    • Tags. Select tags from the drop-down menu.
  6. Fill out the Additional Information. See Configure Custom Fields for Resource Planning.
  7. Optional: Enter Scope of Work to describe the scope of work.
  8. Optional: Enter Assignment Instructions to provide additional instructions.
  9. Optional: Enter Comments.
  10. Click Create.
