Edit a Commitment Synced With QuickBooks
Objective
To edit a commitment in Procore after its been synced with an integrated ERP system.
Background
When a commitment is synced with an integrated ERP system, it's recommended that you always follow your company's Commitment Change Order process when editing project commitments.
Things to Consider
- Required User Permissions:
- To edit a purchase order or subcontract, 'Admin' level permission on the project's Commitments tool.
OR - To edit a purchase order or subcontract as a user with 'Standard' or 'Read Only' level permission to the Commitments tool, the 'Update Purchase Order Contract' and/or 'Update Work Order Contract' granular permission must be enabled on the permission template associated with your user account on the project. - To edit a purchase order or subcontract, 'Admin' level permission on the project's Commitments tool.
- Limitations:
- You should only use the steps below if Procore has been configured to work with QuickBooks® Desktop. For commitments not synced with an ERP system, see Edit a Commitment.
- If you want to delete a synced commitment, see Delete a Commitment Synced with QuickBooks® Desktop.
Steps
- Navigate to the project's Commitments tool.
This reveals the Commitments page. - In the 'Committed - Summary' list, locate the synced commitment.
- Click Edit.
This opens the synced commitment in edit mode.Important
If your company is using QuickBooks® Desktop and you have exported commitments to QuickBooks® Desktop, the following fields are marked read-only and cannot be edited in Procore:- Contract Company
- Status
- Fields in the Schedule of Values (SOV) tab
- Choose one of these options to create the commitment change order:
- If your company has NOT enabled the Change Events tool on the project, click the Commitment CO button. See Create a Commitment Change Order.
OR - If your company has enabled the Change Events tool on the project and if two-tier change events events is configured, see Create a Change Event and then Create a Commitment Change Order for a Change Event.
- If your company has NOT enabled the Change Events tool on the project, click the Commitment CO button. See Create a Commitment Change Order.
- Click Create & Email or Create.
