Perform an Action Plan

Objective

To perform an action plan in the project's Action Plans tool.

Perform an Action Plan: Web

  1. Navigate to the project's Action Plans tool.
  2. Click View next to the action plan you want to perform.
    Note: If the 'View' button is not clickable, the action plan is in 'Edit' mode and can only be accessed by users with 'Admin' level permissions on the project's Action Plans tool.
  3. Review the sections and items.
    Note: Some sections and items may be unavailable to complete if one or more other items were added with 'Blocking Functionality'. See What is 'Blocking Functionality' in an action plan?
  4. Optional (Admin Only): Under the 'Due Date' column, change or remove the due date for the items.
  5. Under the 'Assignees' column, complete the following for items that require signatures:
    Note: Signatures required from assignees that are marked with an asterisk (*) have 'Blocking Functionality' configured and must be completed to release other items to be completed.
    • Click the link for the entity (e.g., 'Contractor') you want to record a signature for.
    • Select yourself or another user from the user drop-down menu.
      • If you selected yourself, add your signature and click Sign.
        OR
      • If you selected another user, have them add their signature and click Sign.
         Important
        By clicking "Sign" you are signing this form electronically, and agree that your electronic signature is the equivalent of your manual signature.
  6. Under the 'Assignees' column, complete the following to add additional assignees to an item:
    • Click +Add Assignees. In the 'Add Assignees' window:
      • Click Select Assignee and select the entity for the responsible party.
      • Click +Add Assignee to add additional entities for additional responsible parties.
      • Click Create Person to add an Individual Assignee.
      • Click Select Verification Method and select the method the responsible party should use to verify the item's completion. See Create Action Plan Verification Methods.
        OR
        To create a verification method while performing the action plan with 'Admin' level permissions on the Company level Admin tool:
        • Click +Create New Verification Method.
        • Enter a name for the verification method. 
        • Click Create.
      • Click Save.
        Notes:
        • Assignees added when an action plan is being created or edited are considered required and can only be removed while creating or editing an action plan.
        • Creating a 
        • Additional assignees added while an action plan is being performed are considered optional and can be removed while performing or editing an action plan.
        • 'Blocking Functionality' can only be configured when an action plan is being created or edited.
  7. Under the 'Records' column, complete the following for items that require a new inspection to be completed or an existing inspection to be linked to the action plan:
    • Click the link for the item (e.g., Site Safety Inspection).
    • In the sidebar that displays, click +Create New or +Link Inspections.
      • +Create New: Click this option to go to the Project level Inspections tool where you can create a new inspection (using the selected template) that can be linked to the action plan once the inspection is created.
        Notes:
        • Only users with the appropriate permissions on the Project level Inspections tool can create an inspection. See Create a Project Level Inspection.
        • Once the inspection has been created, click +Link Inspections (see below) to add it to the action plan.
      • +Link Inspections: Click this option to link an existing inspection to the action plan.
        • In the 'Link Inspections' window, mark one or more checkboxes next to the inspections you want to link to the action plan and click Save.
           Note
          When linking an inspection, a 'Status' column with a progress bar displays for each inspection in the selected template. After one or more inspections are linked to the action plan, the progress bar displays again when viewing the list of linked inspections. An inspection's progress bar is automatically updated whenever the inspection is updated in Procore.
  8. Under the 'Records' column, complete the following for items that require an attachment to be added:
    • Click Attachments Requested.
    • In the 'Attachments Requested' sidebar, click +Add Attachment.
    • In the 'Attach Files' window, attach one or more files from your computer and click Save.

Perform an Action Plan: Mobile

  1. Navigate to the Action Plans tool using an iOS or Android mobile device.
     Note
    If the Action Plans tool is enabled on your project but you cannot access it on your mobile device, you may need to update to the latest version of Procore's mobile application on your mobile device.
  2. Tap the action plan you want to perform.
    Note: Action plans that are in 'Edit' mode have 'Awaiting Changes' banners in the action plans list view.
  3. Review the general information, sections, and items.
    Note: Some sections and items may be unavailable to complete if one or more other items were added with 'Blocking Functionality'. See What is 'Blocking Functionality' in an action plan?
  4. Tap an item to review its information and requirements.
  5. Under 'Records', complete the following for items that require an inspection to be linked to the action plan:
  6. Under 'Records', complete the following for items that require an attachment to be added:
    • Tap +Add next to 'Attachments'.
    • Tap Recents or Browse to locate the file on your device that you want to add to the action plan.
    • Tap the file to attach it to the action plan.
    • To delete an attachment, complete the following:
      • Tap on the attachment you want to delete.
      • Tap Delete.
      • In the 'This Attachment will be deleted' window, tap Delete.
  7. To record a signature for an Assignee:
    • Tap the name of the entity (e.g., 'Contractor') you want to record a signature for.
    • Tap the blank field under 'Signing for [Entity Name]'.
    • Tap your name or another user's name.
    • Tap Next.
      • If you selected yourself, add your signature and tap Sign.
        OR
      • If you selected another user, have them add their signature and tap Sign.
         Important
        By tapping "Sign" you are signing this form electronically, and agree that your electronic signature is the equivalent of your manual signature.
  8. After adding a signature to release other items to be completed, complete the following:
    • Tap the arrow icon < to return to the action plan's general information, sections, and items.
    • Tap the arrow icon < to return to the Action Plans list view.
    • Swipe down on the screen to refresh the action plan.
      This completes the signature task required by 'Blocking Functionality' and releases the connected items to be completed.
