Contract Closeout using Procore Documents

In Procore Documents > 13 Closeout > Trade Closeout Documents you will find a folder called SC--000 Template which contains sub-folders for each piece of documentation trades may be required to provide, for example:

  1. Accounting Statement and Invoice for Holdback
  2. Receipt of O-S quotations, unexecuted POs, CCOs, etc
  3. Construction Act Form 6 or 9 (Certificate of Substantial Performance)
  4. Copy of Notice in DCN
  5. CCDC Form 9A (Statutory Declaration of Progress Payment Distribution)
  6. Current WSIB Certificate
  7. Warranty Certificate (Appendix A page 19 SC4)
  8. Manufacturer and Installer Warranties
  9. Contact Info for Warranty Service
  10. As-Built Drawings (to be submitted to the consultants for review and comments. Once approved, a final set will be issued to the client for turnover to the condominium)
  11. Ownership and Maintenance Manuals
  12. Amended Submittals
  13. Testing and Compliance Reports
  14. Receipt of Attic Stock

Step 1: Review the folders in this template and add or rename as needed for compliance with prime contract requirements.

Step 2: Create a COPY of this folder for each commitment (subcontracts and POs) for which you will be requesting close-out documentation. Rename the folder accordingly, for example SC--001 United Wrecking.

Step 3A: Select the Trade Closeout Documents folder, and select email:

Step 3B: Send the folder to all trades for which you created folders with the following message:

 We are beginning the closeout process for  [Project Name]. In order to receive payment for holdback, you must complete all open deficiencies and upload all closeout documents to the folder that has been created for your your subcontract and company. Within that folder there will be a sub folder for each of the required documents including but not limited to:

  1. Accounting Statement and Invoice for Holdback
  2. Receipt of O-S quotations, unexecuted POs, CCOs, etc
  3. Construction Act Form 5.pdf , Form 6 or Form 9.pdf (Certificate of Substantial Performance) 
  4. Copy of Notice in DCN
  5. CCDC Form 9A (Statutory Declaration of Progress Payment Distribution)
  6. Current WSIB Certificate
  7. Warranty Certificate (Appendix A page 19 SC4)
  8. Manufacturer and Installer Warranties
  9. Contact Info for Warranty Service
  10. As-Built Drawings
  11. Ownership and Maintenance Manuals
  12. Amended Submittals
  13. Testing and Compliance Reports
  14. Receipt of Attic Stock

Once complete, please email the Tucker HiRise project team only (do not reply all to this email). In this email, please advise if any of the requested documents are not relevant to your contract or scope of work. For example, if you performed Formwork, you should state that 14 Receipt of Attic Stock is not relevant to your scope of work.
