FOLDER STRUCTURE
Okland uses a custom configured, self-contained network to house and store all project files and folders. Our network is synced through a Jserver to your local jobsite in order to increase file access speed. Every new job is outlined using the same template and default folders.

Add a how-to article to your user guide
How-to articles describe steps for completing an end-user task. To add a new how-to article, follow these steps:
- Select a topic you want to add the how-to under
- Click on new page at the top of the page
- Select how-to
Add a reference article to your User Guide
Reference pages list essential facts about a feature or system. To add a new reference article, follow these steps:
- Select a topic you want to add the reference under
- Click on new page at the top of the page
- Select reference page
FOLDER STRUCTURE
Below is a simplified outline of the new project Folder Structure and a brief explanation of each folder location.
FOLDER STRUCTURE OUTLINE
*NOTE 00-14 Internal facing folders, private to Okland | 51-60 are public facing to jobsite kiosk, visible to any user.
| 00PSR | Where monthly PSR forms are stored along with the PSR template. |
| 01Preconstruction | Where all of the files from estimating and pre-con are to be transferred prior to construction. Original drawings and specs are saved here prior to Procore upload. |
| 02BIM | Used and managed by the ICT coordinator. |
| 03Survey | Used by self-performed survey teams. |
| 04SelfPerformed | Where all concrete log templates are stored, along with all self-performed concrete information. |
| 05ProjectTeam | Where unique folders for each team members are stored, mainly for large files. |
| 06WeeklyStatusReport | Where all weekly updated templates are stored. |
| 07OwnerPrimeAgreement | Where the original owner contract (with GC's) and additional exhibits are stored. |
| 08BondsBldrsRiskSubGaurd | Where all project-level insurance and bonding requirements are stored. |
| 09ApplicationForPayment | Where all draft/final pay applications are stored for each month. |
| 10Subcontracts | Where buyout listings, work orders, and subcontractor change orders are stored. |
| 11ChangeManagement | Where exposure logs and change order documentation are stored. |
| 12JobCostProjections | Where projects spreadsheets, job cost, and transactional details are stored. |
| 13CertifiedPayroll | Used for certified payroll jobs. |
| 14FinalCloseout | Where all closeout documents are stored prior to owner turnover and where warranty should be managed. |
| 51RFIs | Where RFI documentation is stored prior to submitting final RFI in Procore |
| 52Submittals | Where submittal documentation is stored prior to submitting official submittal in Procore. Where the procurement log is updated and stored. |
| 53Schedule | Where scheduled exports from P6 or Excel look-aheads are stored. |
| 54LEED | Where all LEED documentation is stored. |
| 55Quality | Where all third-party inspections and observation reports are stored outside of Procore. |
| 56Safety | Where all project-specific safety documentation is stored. |
| 57SWPPP | Where all SWPPP documentation/permits are stored. |
| 58DustControl | Where all dust control inspections/permits for AZ projects are stored. |
| 59Permits | Where all building permits and final permit drawing scans are stored. |
| 60Coordination | Where project teams can store any and all documents created through the course of construction that do not fit into the above folder designations. |
| 90BIM_SF | Serves as a shortcut to Sharefile and is used by your ICT representative to post and share model information with third-party collaborators. |
| 91Correspondence_SF | Serves as a shortcut to Sharefile and is used as a resource if large file sharing is necessary on your project. Each folder is subcontractor-specific and used by subcontractors to upload large files for submission. |
