What are the Roles and Responsibilities for an RFI?

Answer

There are a few key roles and responsibilities for all RFIs. The table below breaks down the roles you should understand and what they need to do to get an RFI answered.

Role Definition Responsibilities
Assignee The people who must answer the question. Respond to the RFI by the Due Date.
Creator The person who recorded the RFI in Procore. Write a clear question with enough information for the Assignee(s) to answer.
Received From The person who asked the question. This is often the Creator, but not always. Ideally they should have created the RFI, but since they didn't, they really need to review the official responses when the RFI is closed.
Responsible Contractor

The Responsible Contractor is the company/vendor associated with the user who asked the question (whoever is in the 'Received From' field). They're "responsible" because they're likely trying to complete some work, which is assigned to them per the contract, but they cannot continue because they have a question.

 

Review the official responses when the RFI is closed.
RFI Manager The person responsible for ensuring RFI questions are clear and the correct Assignees answer them on time.

Ensure RFIs are closed by the Due Date. They do this by:

  1. Opening Draft RFIs
  2. Editing Assignees / Changing the Ball in Court
  3. Closing RFIs
