Below are the notable changes to the Document Management (Beta) in 2022.
You can now collaborate on documents with new markup capabilities and view a list of all markup elements within a document. You can also download documents with markup included. See Add Markups in the Document Management Tool and View Markups in the Document Management Tool.
The following markup elements are available within the Document Management Viewer on the Procore web application: Pen, Line, Arrow, Highlight, Rectangle, Ellipse, Cloud, Text, and Stamps. You can also change the markup Width, Color, and Opacity, and use the Undo or Redo commands as necessary.
Note: Currently, mobile users can view markup elements, but cannot create or edit markup elements within the mobile app.
You can now search for documents within the Document Management tool using the Procore Search bar. See Search for and Filter Documents and Search for Items Within a Project Using Procore Search. This includes query results that match any piece of metadata and content within the document. You can also filter the search results to quickly find the appropriate document. Procore Search currently supports English, Spanish, French, and German languages.
You can now view your project documents on both iOS and Android. This includes viewing all document types within the mobile document viewer. You can search, filter, sort, and view recently opened documents to quickly browse and find documents. You can also view markups and personalize the layout.
All uploads to the Document Management tool are now stored in the region selected within the Company level Admin tool.
PDF files with access restrictions or passwords are now identified upon upload. These documents have a lock icon within the Document Management tool to easily identify which documents have restrictions. See How are locked or restricted PDF files handled in the Document Management tool?
If a naming standard is configured for the project, document metadata will now be populated automatically based on keywords and identifiers within the original file name uploaded. Any document fields not detected from the file name or not in the naming standard will be left blank. See What can Procore automatically populate when uploading files to the Document Management tool?
The Document Management tool now supports all languages supported by Procore. You can view the full list here. This applies to all hard coded text into the user interface. User-entered text will not be translated.
You can now view and edit permission groups within a new 'tearsheet' component for easier navigation, visibility, and configuration. See View Permission Groups for the Document Management Tool and Edit a Permission Group for the Document Management Tool.
You will now see requirement metadata fields that have not been populated highlighted red with an asterisk. This helps identify what document fields still need to be populated before submitting to the All Documents tab and distributing to the user permission groups. See View Documents in the Document Management Tool.
You can now create and apply user permissions for Document Management within the Company level Permissions tool. Create a Project Permissions Template and Assign Default Project Permissions Templates in the Permissions Tool. This includes creating a project permission template and assigning default project permissions to users.
You can now configure permission groups, upload requirements, naming standards, document fields, and document permissions within the Project level Admin tool. See Configure Document Management Settings in the Admin Tool.
You can now assign a Document Management permission group to newly created users and existing users within the Company level Directory tool. See Set a Document Management Permission Group for a New User.
You can now configure user permission groups within the Document Management tool Settings > Permissions > Permission Groups page. You can create a new group as well as search, sort, edit, duplicate, and delete existing groups.
When editing a group, you can change the name of the group as well as search, add, and delete users in the group within the People tab.
Within the Permissions tab, you can allow this group upload permission and either grant access to all documents or select what document metadata values are required to grant document access to this group.
You can now configure view access permission for permission group roles including Owner, Admin, and Viewer within the Document Management tool Settings > Document Permissions section.
You can now configure what document metadata fields are required to be populated before documents are able to be submitted to the All Documents tab and grant access to users in permissions groups with access to those documents.
You can now configure how all documents uploaded are named in the Name field within the Document Management tool Settings > Documents > Naming Standards. By clicking the edit icon you can add, remove, and change the order of the document metadata fields you want all documents to inherit as their name.
You can now configure what metadata columns appear in you Uploads tab and All Documents tab by clicking on the Table Settings icon and toggling columns on or off. You can also change the row height.
You can now click on the Uploads button within the Document Management tab and select one or multiple files from your desktop to upload.
You can now select multiple documents within the Uploads tab and bulk edit metadata, download, and submit documents to the All Documents tab.
You can now view all metadata of a document within the Viewer by clicking on the information icon in the right side panel.
You can now enter metadata in the Uploads tab for all documents uploaded.
You can now click on the Submit button in the Uploads tab when all required metadata is entered for a document based on the upload requirements configured. This will move the document from the Uploads tab to the All Documents tab and grant access to users in permission groups that have access to that document based on the permission group configuration.
You can now sort any column in descending or ascending order and shift-click to sort a second column at the same time. You can filter the Uploads tab and All Documents tab by any value in any column as well as search for any metadata in the table to narrow the document list and easily find what you are looking for.
You can now reorder the metadata columns in the Uploads tab and All Documents tab by clicking and dragging any column header. You can click on the ellipsis icon on any column header to pin the selected column in place and click on autosize column to autosize the selected column or all columns.
You can now click on the document name or the view document icon within the Uploads tab and All Document tab to view the document.
