Search, Sort, and Filter the Assignments Gantt

Objective

To search and filter Assignments Gantt and see a multi-day view of resource requests and resource assignments.

Background

Assignments Gantt allows you to view resource requests and resource assignments across all projects and people within your company. Assignments Gantt provides a multi-day view from one (1) day up to three (3) years. You can search and filter the Assignments Gantt to find the information you need such as all active projects, time off, percent allocation of resources, and all open requests. Steps

Search for People (Legacy)

  1. Navigate to the Company level Resource Planning tool.
  2. Click Assignments and select Assignments Gantt.
  3. Select People.

  4. Enter a person's first name, last name, or employee ID in the Search People box. Then click the magnifying glass icon or press the ENTER/RETURN key on your keyboard to initiate your search.

Search for Projects (Legacy)

  1. Navigate to the Company level Resource Planning tool.
  2. Click Assignments and select Assignments Gantt.
  3. Select Projects.

  4. Enter a project name or project number in the Search Projects box. Then click the magnifying glass icon or press the enter/return key on your keyboard to initiate your search.

Filter People (Legacy)

  1. Navigate to the Company level Resource Planning tool.
  2. Click Assignments and select Assignments Gantt.
  3. Select People.

  4. Click the filter icon-filter-wfp.png icon.
  5. Click Matches to filter by terms that match your filters, or click Doesn't Match to show time off that does NOT match the filter.
  6. Select to filter by:
    • Gender. Select this to filter by gender, then select the gender.
    • Hide Empty People. Select this to hide people without resource assignments, then select True.
    • Job Titles. Select this to see a list of job titles, then select the Job Title.
    • Only Show. Select this to only show certain kinds of entries, then select Assignments or Time Off.
    • Projects. Select this to filter by a specific project, then select the project.
    • Tags. Tags that have been configured for people. See Configure Tags for Resource Planning.
       Tip
      To apply AND logic to your tag filters, mark all the checkboxes for your filter selection.
      • For example, if wanting to see people with both Tag A and Tag B:
        1. Click the filter icon-filter-wfp.png icon.
        2. Click Matches.
        3. Select to filter by Tag. 
        4. Mark the checkboxes for Tag A and Tag B.
        5. Click the checkmark icon-check-wfp.png to apply the filter(s).
      To apply OR logic to your filters, individually filter for each tag.
      •  For example, if wanting to see Users OR Assignable Users:
        1. Click the filter icon-filter-wfp.png icon.
        2. Click Matches.
        3. Select to filter by Tag. 
        4. Mark the checkbox for Tag A.
        5. Click the checkmark in the modal.
        6. Click the filter icon-filter-wfp.png icon.
        7. Click Matches.
        8. Select to filter by Tag. 
        9. Mark the checkbox or Tag B.
        10. Click the checkmark in the modal.
        11. Click the checkmark icon-check-wfp.png to apply the filter(s).
    • [Custom Fields]. Custom fields that have been configured for assignments and are filterable, will display at the end of this list. Select the custom field, then select the option by which you want to filter.
      Note: To filter on a custom field, the Enable Use as Filter checkbox must be marked in the custom field's configuration. See Configure Custom Fields for Resource Planning.
  7. Click the checkmark icon-check-wfp.png to apply the filter(s).
  8. If you want to clear filters that you have applied, click the 'x' next to the filter, then click checkmark icon-check-wfp.png to clear the filter(s).
  9. If you want to clear additional filters and revert back to default filters, click the trash can icon-trash-wfp.png icon.
Examples

To see Time Off over time, select the following filters:

  • Select 'Only Show' and click Time Off.
  • Select 'Hide Empty People' and click True.

To hide people without assignments use the following filter:

  • Select 'Hide Empty People' then click True.

Filter Projects (Legacy)

  1. Navigate to the Company level Resource Planning tool.
  2. Click Assignments and select Assignments Gantt.
  3. Select Projects.

  4. Click the filter icon-filter-wfp.png icon.
  5. Click Matches to filter by terms that match your filters, or click Doesn't Match to show time off that does NOT match the filter.
  6. Select to filter by:
    • Bid Rate. Select this to filter by the project's estimated average rate that are Less Than, Less Than or Equal To, Equal To, Greater Than or Equal To, or Greater than a specific value, then enter the value of the estimated average rate.
    • Est. End Date. Select this to filter by projects that end On or Before, On, or On or After a designated date, then select the date.
    • Hide Empty Projects. Select this to hide projects with no resource assignments or resource requests, then select True.
    • Job Titles. Select this to see a list of job titles, then select the Job Title.
    • Only Show. Select this to only show certain kinds of entries, then select Assignments or Requests.
    • Percent Complete. Select this to filter by projects where the percent complete is Less Than, Less Than or Equal To, Equal To, Greater Than or Equal To, or Greater than a specific percent, then enter the percent.
    • Start Date. Select this to filter by projects that start On or Before, On, or On or After a designated date, then select the date.
    • Status. Select this to filter by status, then select Active, Pending or Inactive.
    • Tags. Tags that have been configured for people. See Configure Tags for Resource Planning.
       Tip
      To apply AND logic to your tag filters, mark all the checkboxes for your filter selection.

        2. Click Matches.
        3. Select to filter by Tag.

        10. Click the checkmark in the modal.
        11. Click the checkmark icon-check-wfp.png to apply the filter(s).
    • [Custom Fields]. Custom fields that have been configured for assignments and are filterable, will display at the end of this list. Select the custom field, then select the option by which you want to filter. 
      Note: To filter on a custom field, the Enable Use as Filter checkbox must be marked in the custom field's configuration. See Configure Custom Fields for Resource Planning.
  7. Click the checkmark icon-check-wfp.png  to apply the filter(s).
  8. If you want to clear filters that you have applied, click the 'x' next to the filter, then click checkmark icon-check-wfp.png to clear the filter(s).
  9. If you want to clear additional filters and revert back to default filters, click the trash can icon-trash-wfp.png icon.
Examples

To see all Open Requests, select the following filters:

  • Select 'Hide Empty Projects' and click True.
  • Select 'Only Show' and click Requests.

To hide projects without assignments, select the following filters:

  • Select 'Hide Empty Projects' and click True.

Search the Assignment Gantt

This feature is in beta and available for customers using the Resource Planning tool.
  1. Navigate to the Company level Resource Planning tool.
  2. Click Assignments and select New Gantt.
  3. Enter a project name or project number into the search bar. Then press ENTER on your keyboard.

Sort the Assignment Gantt

This feature is in beta and available for customers using the Resource Planning tool.
  1. Navigate to the Company level Resource Planning tool.
  2. Click Assignments and select New Gantt.
  3. Next to the column name, click the sort order icon.

  4. Click again to switch between ascending or descending order:

Filter the Assignment Gantt

This feature is in beta and available for customers using the Resource Planning tool.
  1. Navigate to the Company level Resource Planning tool.
  2. Click Assignments and select New Gantt.
  3. Select to see information grouped by Resource or Project.

  4. Click the filter icon-filter2.png icon.
  5. Select from the available filters:
    • Job Title
    • Status
    • Only Show
      • Assignments
      • Requests
    • Hide Empty Projects
    • Hide Empty Categories
    • Custom Fields
  6. To clear filters, click the X in the filter, or click Clear All Filters.
