Edit a Commitment Synced With Xero™

Objective

To edit a commitment in Procore after its been synced with an integrated ERP system

Background

When a commitment is synced with an integrated ERP system, it's recommended that you always follow your company's commitment change order process when editing project commitments. 

Things to Consider

  • Required User Permissions:
    • To edit a purchase order or subcontract, 'Admin' level permission on the project's Commitments tool.
      OR
    • To edit a purchase order or subcontract as a user with 'Standard' or 'Read Only' level permission to the Commitments tool, the 'Update Purchase Order Contract' and/or 'Update Work Order Contract' granular permission must be enabled on the permission template associated with your user account on the project. Steps

  1. Navigate to the project's Commitments tool.
    This reveals the Commitments page. 
  2. In the 'Committed - Summary' list, locate the synced commitment. 

    For companies using the ERP Integrations tool, color-coded icons and ribbons appear in relevant areas of Procore to show the current status of an item. 

    ICON RIBBON COLOR DEFINITION
    icon-erp-rejected.png ribbon-erp-rejected.png YELLOW Data that was sent ERP Integrations tool for approval has been retrieved from the tool by an end user.
    OR
    Data that was sent to the ERP Integrations tool has been rejected for export to the integrated ERP system by an accounting approver.

    icon-erp-sent.png ribbon-erp-sent.png BLUE Data was sent to the ERP Integrations tool and is waiting for accounting approver to accept it for export to the integrated ERP system.

  3. Click Edit.
    This opens the synced commitment in edit mode. 
     Important
    If your company is using Xero™ and you have exported commitments to Xero™, the following fields are marked read-only and cannot be edited in Procore:
    • Contract Company
    • Status
    • Fields in the Schedule of Values (SOV) tab
  4. Choose one of these options to create the commitment change order:
  5. Click Create & Email or Create.
