Introduction

The procedures outlined in the following sections assume you are using the cloud-based Office 365® (Outlook.com) product. The steps may differ if you are using the on-premise version of Microsoft® Exchange and the desktop version of Outlook. Refer to Office documentation for admins and IT professionals on the Microsoft website for exhaustive information on configuring and managing Microsoft Office products.

Setting Up Procore for Outlook

Use the following steps to set up Procore for Outlook and deploy it to your organization. You must have administrative access to your Microsoft Office 365 organization in order to complete the installation and setup steps. (Note: this procedure assumes you are using the cloud-based Office 365 (Outlook.com) product. The steps may differ if you are using the on-premise version of Microsoft Exchange and the desktop version of Outlook.)

  1. Open your browser and go to the Microsoft AppSource.

  1. Click Get it Now. You are prompted to sign-in to the Microsoft AppSource,

  1. Click Sign in. Agree to the terms of use and privacy policy and click Continue.

  1. Begin the deployment process by clicking Next.

  1. Specify who will have access to the add-in - everyone, specific users/groups, or just you - then click Deploy Now.

  1. Once the add-in deploys successfully, click Next.

  1. Complete this stage of the deployment by clicking Close.

Activating the Add-in in Outlook

Once Procore for Outlook has been successfully deployed to your organization by your site administrator, you can begin using the add-in within Outlook. Use the following steps to activate the add-in in Outlook.

  1. Log in to Outlook and go to your 'Inbox'.
  2. Select an existing email.
  3. In the 'ribbon' of the message open More actions... and choose Procore for Outlook.

  1. On the 'Welcome' panel, click Sign In.

  1. On the Procore login screen, enter your Procore credentials and click Log In. You are now able to forward emails from Outlook to Procore and upload attachments to the Documents tool as described in the following sections.

Forwarding Emails from Outlook to Procore

Use the following steps to forward an email message to the Procore Emails tool.

  1. Log in to Outlook and go to your 'Inbox' (or other folder with existing messages).
  2. Select an existing email.
  3. In the 'ribbon' of the message open More actions... and choose Procore for Outlook.

  1. In the 'Procore for Outlook' panel, click Send to Email Tool.

  1. Choose the Procore Company you want to work with.

  1. Choose the Procore Project you want to forward the email message to.

  1. Confirm your action by clicking Copy to Procore.

  1. If successful, you will see the following message indicating that your email has been saved to Procore.

Uploading Outlook Email File Attachments to the Procore Documents Tool

Use the following steps to upload email file attachments to the Procore Documents tool.

  1. Log in to Outlook and go to your 'Inbox' (or other folder with existing messages).
  2. Select an existing email that includes at least one file attachment.
  3. In the 'ribbon' of the message open More actions... and choose Procore for Outlook.

  1. In the 'Procore for Outlook' panel, click Send to Docs Tool.

  1. Select a Company and Project as described in the previous section.
  2. Choose the folder in the Documents tool you want to upload your attachment to and click Use this folder.

  1. Enter the filename you want to use for the attachment (or use the default) and click Send to Procore Documents. The attachment is saved to the folder you have specified.

Create an RFI from an Outlook Email

Use the following steps to create a draft RFI from an Outlook email.

  1. Log in to Outlook and go to your 'Inbox' (or other folder with existing messages).
  2. Select an existing email.
  3. In the 'ribbon' of the message open More actions... and choose Procore for Outlook.

  1. In the 'Procore for Outlook' panel, click Create RFI.

  1. Select a Company and Project as described in previous sections.
  2. In the 'RFI Details' section, fill in the relevant information for the new RFI.

Tips

Procore for Outlook auto-populates some of the draft RFI fields for you:

  • The Subject field is copied from the 'Subject' line in the email.
  • The Received From field is copied from the 'From' line in the email (if the user is in the Procore Project Directory).
  • Attachments also carry over from the email to the draft RFI.
  1. Click Create Draft RFI.
  2. Click Continue editing in Procore to complete the draft RFI in Procore and initiate your RFI workflow.
