It all starts with a commitment

Commitments include Purchase Orders and Subcontracts and are required to be completed and fully executed before subcontractors can step foot on site or vendor invoices can be submitted and processed. A well written commitment is also crucial to risk management and mitigation. All commitments should have two levels of scope definition:

  • General/Umbrella - For example tying a subcontractor to a division or cost code and all work reasonably associated with that. The intent is to communicate a mutual understanding of  conditions that will be present prior to their start of work, and that the subcontractor is entirely responsible for the complete scope of work, and what general items others will be performing in relation to their scope.
  • Detailed Scope - This should elaborate on the general scope statements, starting with the phrase "Includes but is not limited to", and provide an exhaustive list by location (including floor, room name, number as applicable) of every material to be installed.

The Commitments tool in Procore also allows our team to see the status and current value of all contracts and purchase orders. We can easily pinpoint which contracts have been approved or determine the status of invoices and payments.
