Change Events

In Procore, Change Events are considered any event that could result in a chance to cost, schedule, or scope. The most common sources or change events include RFIs, SIs (Instructions), and Observations. Creating a Change Event is the first step in the change order process, and should be done even if you are not sure the event will result in a cost, schedule, or scope change, as the entire process still needs to be documented. Further, Procore Change Events is a much easier and faster way to facilitate this process than emailing drawings and trying to track responses.

 Important

When creating or editing Change Events, please pay special attention to the Scope field. Under the current budget configuration, items marked as Out of Scope with Pending status will modify column 13 Approximate COs in your budget. Items marked In Scope or TBD will NOT modify these columns or your committed costs. Most Change Events generated from RFIs or SIs will be Out of Scope. For unit rate contracts or scopes such as dewatering where an initial contract is written and change orders are added to reconcile actual costs monthly, we do not want the change orders to modify the budget as the commitment change orders are still within our budget total for that line. If actual costs exceed the current dewatering budget, you would then set the CE as Out of Scope. Note that the Scope set in your Change Event will carry through to associated PCOs and CCOs. If scope is not set in a change event, the PCO and CCO will have "no scope" meaning they will function as In Scope. You must set the CE as Out Of Scope if you want the budget to be modified. If you are unclear on what to select, ask these questions:

  1. Was the item in question include in or implied by the subcontract documents (drawings, specs, appendices, etc)? If no, select Out of Scope
  2. Do you have extra money in that line item (uncommitted cost) that was intentionally held to account for such expenses? If no, select Out of Scope
  3. Is there a factor (Delay, condition, request, etc) outside of the subcontractor’s control that results in more time or cost? If yes, select Out of Scope
