Process: Filling out Timecards in ADP 


Objective 

To accurately record time for payroll processing. 

Background 

All employees are required to fill out their timecards in ADP each week by Monday at noon.  

Things to Consider 

Salaried employees are required to have a minimum of 40 hours shown on their timecards. If unpaid time off is required, an email should be sent to accounting and their supervisor. 

Timecards may be filled out on desktop or mobile app. 

Steps 
  1. Login to ADP 

  1. Select tab “Myself” > select “My Timecard” 

  1. Columns that must be filled out: 

  • Hours 

  • Project 

  • Cost Code 

  1. To add multiple items on one day, select the lines on the left side of the day and ‘Add Blank Row’ 

  1. If you are not coding time to a project, but need to code time to an overhead account, please use project 00-000 General Administration. See overhead cheat sheet.

  1. Always hit Save after entering time 

  1. If you need to add mileage or per diem, select the tab “Supplemental Pay Codes” 

  1. Choose either mileage or per diem under Supplemental Pay Code 

If choosing mileage, enter the total miles under “Entered Amount” 

Enter the Project and Cost code associated with the mileage 

Hit Save. This will calculate the mileage at the federal rate and populate the total amount of reimbursement into the “Final Amount” 

If choosing per diem, enter 1 for each day you are to receive per diem. See per diem policy. 

Enter the project and cost code associated with the per diem 

Hit Save. This will calculate the amount of per diem to be paid under “Final Amount”
