Invite a Batch of Users to Join a Procore Project
Objective
To use the Bulk Actions > Invite menu command to invite a batch of users to join a Procore project.
Background
Users with the permissions listed below on the Project Directory can invite (or reinvite) a batch of users to join a Procore project.
Things to Consider
- Required User Permissions:
- 'Admin' level permissions on the Project level Directory tool.
OR - 'Standard' or 'Read Only' level permissions on the Project level Directory tool with the 'Create and Add Users (Assignable Permission Templates Only)' granular permission enabled on your permissions template.
- 'Admin' level permissions on the Project level Directory tool.
- Prerequisites:
- The invitee must be added to the Project Directory. See Add a User Account to the Project Directory or Request Company and People Imports.
Note: Invitations can be sent at the same time a user is added to the Directory.
- The invitee must be added to the Project Directory. See Add a User Account to the Project Directory or Request Company and People Imports.
- Alternatives:
- To invite a single user to join your company's Procore account, see Invite or Reinvite a User to Join a Procore Project.
- Limitations:
- When using the Bulk Actions > Invite command, invitations are NOT sent immediately. There can be a time delay (i.e., depending on a number of factors, this can be a few minutes or, sometimes, many minutes). If you need an invitation to be sent immediately, follow the steps in Invite or Reinvite a User to Join a Procore Project.
- After an invite is sent, Procore sends an automated Welcome Email to the invitee's email address. If the invitee does not log into Procore, an automated follow-up message is sent at three (3), seven (7), and 14 days. After 14 days, the follow-up email is automatically discontinued.
Steps
- Navigate to the Project level Directory tool.
- Click Users.
Notes:- An Invite button appears to the right of all user names that have NOT previously been sent an invite to join your Procore project.
- A Reinvite button appears to the right of all user names that have been previously invited to join your company, but did not respond to the invitation.
- Choose from these options:
- To invite a user, mark the checkbox next to the desired user's name.
OR - To reinvite a user, place a mark in each desired checkbox.
Note: To remove a selected user, clear the desired checkbox(es) or click Start Over to clear all selected checkboxes.
- To invite a user, mark the checkbox next to the desired user's name.
- Choose Bulk Actions > Invite.
Click Invite to acknowledge the confirmation message. A GREEN banner appears to confirm that an invitation will be sent.
Note: When using the Bulk Actions > Invite command, invitations are NOT sent immediately. There can be a time delay.
