Manage Draft Messages for Workforce Planning

Objective

To manage draft messages for Workforce Planning.

Background

You can draft messages to be sent to people that you manage in Workforce Planning. This tutorial shows how to view, send, edit, and delete draft messages.

 

Things to Consider

  • Required User Permissions:
    • To send messages, 'Read Only' level permissions or higher on the Workforce Planning tool and 'Admin' level permissions within the Workforce Planning tool. See Create Permissions Templates for Workforce Planning.
      OR
      'Read Only' level permissions or higher on the Workforce Planning tool with the 'Create Messages' granular permission within the Workforce Planning tool. See Create Permissions Templates for Workforce Planning.
    • To receive messages via email, people must have the Enable Email checkbox selected, and an Email Address entered in their personal information on the People List. See Edit People in Workforce Planning.
    • To receive messages via SMS, people must have the Enable SMS checkbox selected, and a Phone Number entered in their personal information on the People List. See Edit People in Workforce Planning.
  • Additional Information:
    • Messages sent in Workforce Planning will NOT appear in Emails in Procore.
    • Message and data rates may apply when sending or receiving SMS messages.
    • Messages that are only visible to you have a lock icon-private-wfp.png icon.
    • Draft messages that are only visible to you have a lock icon.
    • Deleted messages are permanently removed from Workforce Planning and cannot be recovered.

Steps

You can manage your draft messages in four (4) ways:

View a Draft Message

To view a draft message, follow these steps:

  1. Navigate to the Company level Workforce Planning tool.
  2. Click Communications and select Messages.
  3. Click Drafts.
  4. Click the draft to view.
    Note: Individual drafts are created for each recipient.

Send a Draft Message Now

To edit a draft message, follow these steps:

  1. Navigate to the Company level Workforce Planning tool.
  2. Click Communications and select Messages.
  3. Click Drafts.
  4. Click the message to send now.
  5. Optional: Edit the message.
    • Subject. Enter the subject of the message.
    • Message. Enter your message.
    • Click Add Recipients and select the person to send the message to.
      Notes:
      • You can repeat this step to add additional recipients.
      • If you need to remove a recipient, click the remove icon-delete-wfp.png icon next to their name.
    • Mark the checkbox 'All Users Can See This Message' if you want all users to be able to access the message in the Messages tool.
      Note: The option can only be edited if the originally-drafted message had the checkbox marked. See Send a Message for Workforce Planning.
  6. Move the toggle for 'Schedule Delivery' to the OFF position.
  7. Click Send Now.

Edit a Draft Message

To edit a draft message, follow these steps:

  1. Navigate to the Company level Workforce Planning tool.
  2. Click Communications and select Messages.
  3. Click Drafts.
  4. Click the message to edit.
  5. Edit the message.
    • Subject. Enter the subject of the message.
    • Message. Enter your message.
    • Click Add Recipients and select the person to send the message to.
      Notes:
      • You can repeat this step to add additional recipients.
      • If you need to remove a recipient, click the remove icon-delete-wfp.png icon next to their name.
    • Mark the checkbox 'All Users Can See This Message' if you want all users to be able to access the message in the Messages tool.
      Note: The option can only be edited if the original draft had the checkbox marked. See Send a Message for Workforce Planning.
  6. Schedule Delivery. Select whether the message is scheduled for delivery.
    • Leave the 'Schedule Delivery' in the ON position and enter the date and time for the scheduled message to be sent. Then click Schedule.
      OR
    • Move the toggle for 'Schedule Delivery' to the OFF position to un-schedule the message. Then click Save to save it as a draft.

Delete a Draft Message

To delete a draft message, follow these steps:

  1. Navigate to the Company level Workforce Planning tool.
  2. Click Communications and select Messages.
  3. Click Drafts.
  4. Click on the message you want to manage.
  5. Click Delete.
 Caution
Deleted messages are permanently removed from Workforce Planning and cannot be recovered.
