Share a Custom Company Report

Objective

To share a custom report with other people in your company. 

Background

If you are a user with 'Admin' level permission on the Reports tool, custom reports that you create are automatically shared with other users who have been granted 'Admin' level permission on the Reports tool. If you want share the report with other users who have only 'Read Only' or 'Standard' level permission, you must specifically designate those people in the custom report's settings using the steps below.

When a custom report is shared with a user, it becomes available to that user in the Reports tool in the My Company Reports section. It is also important to note that the shared reports will filter data based on the user's access permission on Procore tools. For example, if you share a report that includes data from the Submittals tool, the users you share it with must also have permissions to the Submittals tool in order to view it. 

If you do NOT share a custom report, it is only available for viewing and editing by you (i.e., the creator of the report). 

Things to Consider

  • Required User Permission:
    • To share a report with other company users, 'Admin' on the company's Reports tool. 
    • To view a shared report, you must have:
      • 'Read-Only' or higher on the company's Reports tool.
        AND
      • Access permissions to the Procore tools with the source data. For example, if a shared custom report includes data from the Submittals tool, you must be granted permission to the Submittals tool to see the report data.
        Note: By default, the report is also shared with any user who has been granted 'Admin' permissions on the Reports tool.

Steps

  1. Navigate to the Reports tool.
  2. Locate the custom report to share. 
  3. Click the vertical ellipsis (⋮) and choose Edit from the menu.

  4. In the Enter Names or Distribution Groups drop-down menu, select user(s) or distribution group(s) that you want to share the report with.
    Note: By default, the report is also shared with any user who has been granted 'Admin' permissions on the Reports tool.

  5. Click Share.
    The Share List updated banner appears. 
    Notes:
    • Procore's shared custom report can now be accessed in the Reports tool by the selected user(s). See What happens when I share a report with another Procore user?
    • By default, the report is also shared with any user who has been granted 'Admin' permissions on the Reports tool.
    • Users with whom the report has been shared will receive an automated email notification with the subject line, "<Company Name> has published a report to you."
