Overview
Configuring Your Budget and Forecasting Views provides a streamlined experience for managing financial data. In this new experience, budget and forecasting views are decoupled from columns, allowing users to create columns independently and assign them to specific views. This update improves visibility by clearly distinguishing between Procore standard-defined columns and custom columns, while reducing the effort required to duplicate data.
This release is a required step for organizations intending to use upcoming Forecasting features in 2026, such as direct entry and manual overrides.
Things to Consider
-
Company-Level Feature.
-
This configuration is managed at the Company level and is available in both Sandbox and Production environments.
-
-
Migration Requirement.
-
All existing views—including the Procore Reporting View—are migrated as-is with no downtime for project managers or end users.
-
-
Reporting Changes.
-
The "Procore Reporting View" no longer controls data flow to Single Tool Reports. Users must now select a column in the Columns page and designate it as "reportable" (up to 60 columns).
-
-
Future Compatibility.
-
Migration to the new experience is mandatory to take advantage of any future budget sources, standard views, or forecasting features released after 2025.
-
-
Beta Opt-Out Consequences.
-
While the migration is revertible, certain actions taken in the new experience (such as creating new columns or changing formulas) will not be reflected if you roll back to the legacy experience.
-
Ready to decide?
Read Opting Out to understand how these choices impact your setup.
Opting In
The migration primarily consolidates data to ensure compatibility with future 2.0 features.
-
Understanding the Migration
When you initiate the migration, the system follows these rules:
-
Column Consolidation: Existing columns with identical definitions, names, and settings are consolidated into a single column. Any variations (e.g., different subtotal settings or formula differences) are treated as unique. However if you have multiple columns of the same name and definition and they all are visible on the same view, we do not consolidate and keep these separated.
-
Ignored Columns: Any custom column that is currently not in-use (not visible or used by a visible calculated column) is ignored and not migrated.
-
Snapshots: Existing budget and forecast snapshots remain fully accessible in the new experience.
-
Migration Timing: Depending on the number of views, the process can take between 1 and 10 minutes.
-
-
Reporting & Workflow Mapping
-
Your legacy reporting settings transition into the new "Reportable" column status as follows:
Legacy Setting/Action
New Experience Status
Procore Reporting View Columns
Automatically designated as Reportable in the new builder.
Adding a Column to Single Tool Reports
Users must select the column in the builder and toggle the Reportable setting.
Limit for Reportable Columns
Remains at a maximum of 60 columns per company.
Workflow Column Assignment
Managed via the Workflows navigation tab rather than within a specific view.
-
Opting Out
If you exit the program via Procore Explore, the reversion is immediate. However, consider the following impacts on your data:
|
Action Taken in New Experience |
Impact in Legacy (After Reverting) |
|---|---|
|
Create a New Column |
It will NOT be available in the legacy experience. |
|
Delete a Column |
It is NOT deleted from legacy. |
|
Create a New View |
It remains visible in legacy. |
|
Delete a View |
It is deleted permanently. |
|
Create a New View with Existing Columns |
It remains visible in legacy. |
|
Create a New View with only new Columns |
It remains visible in legacy without any columns |
|
Assign a new column to Workflow |
It is NOT changed in legacy. |
|
Assign a new column to Single Tool Reports |
It is NOT changed in legacy. |
|
Change a calculated column Formula |
Changes are NOT reflected in the legacy experience. |
|
Change a source column definition |
Changes are NOT reflected in legacy |
|
Create a snapshot on a new budget view with new or existing columns |
Snapshots remain available. New columns are preserved within existing snapshots; however, these columns cannot be compared to the live budget in the legacy experience, as the legacy view does not support new column types. |
Managing Columns
Procore’s budget views allow teams to customize how they display and report on project financial data. The modernized experience introduces a more efficient, decoupled experience by separating column management from individual views.
With this new update, columns are managed independently rather than being built inside a specific view. This allows users to create a column once and enable it across multiple views, significantly reducing the effort required to manage and duplicate data layouts.
Budget columns allow you to customize how financial data is displayed and calculated. You can create custom columns, utilize Procore standard columns, or modify existing configurations.
Creating a Column
To create a new Budget View column:
-
In the Budget Settings page, click the Columns tab.
-
Click the Create dropdown and select one of the following column types:
-
Source: Direct data from a specific tool or origin.
-
Calculated: A column based on a mathematical formula between other columns.
-
Forecast to Complete: Columns used specifically for forecasting projected costs.
-
-
Complete the required fields in the configuration panel.
-
Click Create to save.
Note: Once created, these columns can be added to your various Budget Views.
Understanding Locked (Standard) Columns
Locked columns are Procore Standard Columns. These are pre-configured, "out-of-the-box" columns that form the foundation of Procore Standard Views. Here are a few things to consider when working with these columns:
-
You cannot delete standard columns or change their default names.
-
You can provide a Display Name alias when assigning these columns to a specific Budget View.
-
Most standard columns can be duplicated for custom use, except for:
-
Original Budget Amount
-
Budget UOM / Unit Cost / Unit Qty
-
Notes
-
Budget Modifications
-
-
Standard columns can be assigned or unassigned to Single Tool Reports as needed.
View or Duplicate a Standard Column
Select a column from the Columns list to open the detail panel. Click Duplicate to re-create it as a custom column.
Edit or Delete Custom Columns
Only custom columns can be edited or permanently deleted.
-
To Edit.
-
Click on the specific custom column from the list to open the detail panel and make changes. Changes can be saved in the existing column or as a new column.
-
-
To Delete.
-
Click the Trash icon in the top right corner of the detail panel.
-
Note: If a column is currently assigned to a Budget View or is being used as a component in a Calculated Column, the system will provide a warning notification before allowing you to proceed with deletion.
Searching and Filtering Columns
To quickly locate a specific column:
-
Search.
-
Use the search field to find columns by name.
-
-
Column Type.
-
Use the dropdown to filter by the following column types:
-
Calculated Column
-
Source Column
-
Standard Column
-
-
-
Reportable Column.
-
Use the dropdown to filter by reportable status:
-
Yes, reportable
-
No, not reportable
-
-
Managing Views
As part of the enhanced experience, the new View Builder empowers Company Administrators to design highly tailored financial views. This improvement provides granular control over data transparency, allowing you to selectively show or hide columns to align precisely with your specific reporting goals, project milestones, or stakeholder requirements.
This update also provides clearer visibility into Procore standard versus custom columns and introduces the ability to create aliases (nicknames) for column titles, ensuring project teams see the most relevant labels for their specific workflows.
Assign Columns to a Budget or Forecast View
In the Budget Views tab, locate the Budget or Forecast View you wish to add columns to and click Edit.
In the list of available columns, toggle ON or OFF any as desired.
(Optional) Click the pencil icon next to a column header to edit the display name for this view.
This opens the Edit Column Display Name window.
In the Column Display Name field, enter up to 50 characters and click Update.
In the view builder, both the actual and display name are shown for a column.
Click Save.
Assign a Budget View to Projects
Once your budget view is configured, you can assign it to specific projects from two locations:
The Budget Views List: From the main list of all available budget views.
The View Builder Edit Page: While actively editing or configuring a specific view.
| |
|---|
In both locations, you must click the Assigned Projects hyperlink (e.g., 0/111 projects) to open the Assign View to Projects screen. This window allows you to select the specific projects where you want the view to be available.
Once all projects are selected, click Save Changes.
