Delete Project Cost Codes from a Procore + QuickBooks® Online Project

Objective

To delete project cost codes from a Procore project that has previously been synced with QuickBooks® Online.

Background

If your company has implemented the ERP Integrations tool and configured it for use with QuickBooks® Online, a user with 'Admin' level permission on the QuickBooks® Online-integrated project's Admin tool can delete project cost code/s if the project cost code(s) are not be in use on any records in the project.

If the project cost code(s) are in use anywhere on the Project, an error message will display when the project Admin attempts to delete it. Once the cost code(s) have been removed from any records within the project, the project cost code/s can be deleted.

 Note
Deleting a cost code in Procore will NOT automatically delete that same cost code in QuickBooks® Online. If you would also like to delete a cost code in QuickBooks® Online that has been deleted in Procore, you must delete it within QuickBooks® Online. Please reference QuickBooks® Online's support resources to learn how to delete a cost code in QuickBooks® Online.

Things to Consider

  • Required User Permission:
    • 'Admin' level permission on the project's Admin tool.
  • Requirements:
    • Project Cost Codes can only be deleted under the following circumstances:
      • The cost code(s) must be unused in the Procore project. 

Steps

To delete unused cost codes from the project's 'Cost Code' segment: 

  1. Navigate to the Project level Admin tool. 
  2. Under 'Project Settings', click the Work Breakdown Structure link.
  3. In the 'Segments' table, click the segment that contains the item(s) to delete.

  4. Locate the segment item to delete. If you are deleting a tiered segment, you will want to navigate to the segment item and highlight it in the left pane. 
  5. Click the vertical ellipsis on the segment item's line item, and choose Delete from the Overflow menu.
