Export a Folder Contents List to CSV or PDF

Objective

To export a list of a folder's contents to the CSV or PDF file format from the Documents tool.

Background

The Documents tool lets you export a list of a folder's contents to the CSV or PDF file format. These output files list the documents stored in a folder on separate line items. The output file also contains a hyperlink to each document in your company's Documents tool. If the folder you choose to export contains subfolders, those subfolders and their contents are added to the your list and files are grouped into each subfolder. 

Things to Consider

  • Required User Permission:
    • To export a list of the documents that you have access permission to view, 'Read-Only' level permission or higher on the Documents tool. 
  • Additional Information:
    • Keep the following in mind when working with the Company level or Project level Documents tool:

      • The tasks that you can perform are determined by the permission level that you've been granted for each tool. See What are the default permission levels in Procore? You may not always be assigned the same permission level on both your company's and a project's Documents tool. 
      • Access permissions are typically set by your company's Procore Administrator (or another contact at your organization who has been delegated the authority to administer a specific project and/or project tool).

Steps

Export to CSV

  1. Navigate to the Documents tool.
    This reveals the Documents page.
  2. In the tree view, navigate to and highlight the desired folder.
    This reveals the folder's details in the center pane.
  3. Choose Export > CSV.
    The system downloads a CSV file to the download location specified by your web browser's configuration settings. Typically, this is the Downloads folder. 
    Each line item in the CSV file contains this information:

    • Name. Each line item shows the company name, the folder name, the subfolder(s) name (if any), and the file name. 

    • Uploaded/Created By. The name of the Procore user who uploaded the file to the Documents tool. 

    • Uploaded/Created On. The time and date that the file was uploaded to the Documents tool. 

    • Version. The version number of the current file. 

    • Version Comments. Any comments added for the file version by the user who uploaded the file. 

    • Link To. A secure hyperlink to the document in the Documents tool. Users with access permission to the Documents tool and file can paste this link into a web browser to log in to Procore and gain access to the file. 

Export to PDF

  1. Navigate to the Documents tool.
    This reveals the Documents page.
  2. In the tree view, navigate to and highlight the desired folder.
    This reveals the folder's details in the center pane.
  3. Choose Export > PDF.
    The system opens a PDF version of the list in a new browser window. 
    Note: You can click the Download icon in the top-right corner if you want to download the PDF file to the location specified by your web browser's configuration settings. Typically, this is the Downloads folder. 
    Each line item in the PDF file contains this information:

    • Name. Each line item shows the company name, the folder name, the subfolder(s) name (if any), and the file name. 

    • Uploaded/Created By. The name of the Procore user who uploaded the file to the Documents tool. 

    • Uploaded/Created On. The time and date that the file was uploaded to the Documents tool. 

    • Version. The version number of the current file. 

    • Version Comments. Any comments added for the file version by the user who uploaded the file. 

    • Link To. A secure hyperlink to the document in the Documents tool. Users with access permission to the Documents tool and file can paste this link into a web browser to log in to Procore and gain access to the file.
