PROJECT MEETINGS  

Project Start-Up Meeting

  • Purpose: Review of tactical items to start a project
  • Execution: Utilize the form
  • Attendees: Project Manager, Superintendent, Project Engineer

 

Kickoff Strategy Meeting

  • Purpose: To align the team, establish communication, roles, establish profit expectations, and look ahead to identify challenges/risks of the project.
  • Execution: Agenda
  • Attendees: Project Manager, Project Engineer, Superintendent, Director
  • Optional Attendees: Vice President, Director of Field Operations

 

Procore/Accounting Setup Meeting

  • Purpose: To ensure all setup data is consistent and accurate
  • Execution: New Project Setup Form
  • Attendees: Accounting Precon Meeting with client, if necessary.

 

Internal Weekly Team Meetings

  • Purpose: To continue to align team on an ongoing basis to ensure the individuals are focusing on critical items for overall success of the project.
  • Execution: Weekly Meeting Agenda (utilize the site walk through as a template or starting point)
  • Attendees: Project Manager, Superintendent, Project Engineer
  • Optional Attendees: Project Director
  • Agenda: Walk Through Guidelines, Project Financials (Internal, External, CCD Review), Problem Subcontractors, OAC Prep/Follow-Up

Premortem: Internal

  • Purpose: To transfer existing knowledge from individuals to the current team and foreshadow the failure of a project and identify and present the reasons for potential failure.
  • Execution: Premortem, Inventing the Wheel Presentations
  • Attendees: Project Manager, Superintendent, Project Engineer, Director, Vice President, Director of Field Operations, other internal subject matter experts.

Premortem: External

  • Purpose: To transfer existing knowledge from individuals to the current team and to foreshadow the failure of a project and identify and present the reasons for potential failure.
  • Execution: May be independent meeting, can be a part of an OAC Meeting.
  • Execution: Premortem documents
  • Attendees: Project Manager, Superintendent, Project Engineer, Director, Vice President, Director of Field Operations, Architect, Owner, other design team members
  • Requirement: The decision to have this meeting is the project teams in conversation with the director/client.

What is a Premortem?

A Managerial strategy in which a manager imagines that a project or organization has failed, and then works backwards to determine what potentially could lead to the failure of the project or organization.

Things to Keep in Mind During a Premortem

Reasons for Failure

  • What can slow us down and/or prevent us from hitting our turnover date?
  • What are we already nervous about?
  • Where did we discover blind spots on past projects?
  • How quickly can we respond when something goes wrong?
  • Who could own each of our biggest risk areas?

Reasons for Success

  • Where can we overachieve to possibly make up for any shortcomings that might exist?
