Objective
Clarify expectations regarding how, when and why Observations should be created.
Background
The Observations tool in Procore is a great way to keep track of Quality and Safety deficiencies and making sure they are remedied in an efficient manner.
Things to Consider
Observations in Procore can be used in several ways, from creation of completion lists as described here, to QC and safety observations. It is also used differently to the punch list tool in Procore. You’ll need to have completed Procore certifications in these tools prior to using them for these tasks.

Steps

Observations should be created whenever a deficiency is brought to a superintendent’s attention, via subcontractor, site walk, review of project photos, etc.

Observations can also be generated from an item failing an inspection

Whenever possible add a photo, location, and assignee to the observation.

Even if foreman onsite are not utilizing Procore, assigning observations to them is still useful for organizing. Observations can be filtered by company, and printed out for onsite personnel if required

The log of open observations should be monitored frequently, and follow ups should be done to ensure items are being corrected.
