Jobsite Audits
Department: Safety Director
Topic: Jobsite Audits
Process: Performing Jobsite Audits
Objective
An important part of Koester Construction’s Safety Program is internal safety audits of active jobsites. These audits are to be performed by the safety director
Background
Audits are to be performed using Procore’s Inspection and Observation Templates. Due dates for corrections are set at the discretion of the Safety Director and are based on the urgency to correct the item to prevent any future accidents.
Things to Consider
Audits are most successful when the superintendent is able to accompany the director during the audit of the site, but it is understood that daily schedules on a project may not always accommodate that. Audits are typically on a random schedule, and notifying onsite personnel ahead of time is typically not required, to view the site in its “normal” operations and not “prepped” for an inspection. Exceptions to this occur for projects with sporadic schedules and long drive times
Audit Frequencies:
Projects within a 3-hour drive of Koester’s Main office are to be audited via in-person visit a minimum of once a month, preferably twice a month if the schedule allows.
Projects outside of a 3-hour drive of the office are to be audited via in-person visit by the safety director once every 6 months and are to be audited remotely once a month by alternative methods. These alternative methods include, but are not limited to: Virtual visits, having other team members perform audits during scheduled trips (PMs, PEs, FMs,), and analyzing photo and video footages of the sites.
Care should be taken to minimize costs associated with audits whenever possible, but cost savings come secondary to ensuring safe sites when issues or potential issues arise. Proper coordination is helpful when minimizing costs. Overnight stays should be avoided when possible, and long trips can often be coordinated with other team personnel who also need to visit sites
Audit Follow-Ups
Items found during Audits should be set up as Observations in Procore such that they are fixed and closed out in a timely manner. Items found that pose imminent danger should be corrected before the end of the Audit onsite. The Safety Director is responsible for following up and ensuring that these follow-ups are happening. In cases where observations are not getting closed out in a timely manner, especially ones that pose danger to others, the safety director will work with the project team to find options to complete these.
