Process: Returning Phone from an Employee
Objective
This will outline the process for the return of company phones from employees. It ensures that all company-issued devices are properly recovered, securely wiped of any sensitive data, and accurately tracked with the Tool Department.
The procedure applies when an employee leaves the company or when employee is terminated from the company.
Things to Consider
This procedure applies to all employees who have been issued a company phone and are required to return it due to termination and resignation.
Phone must be returned with no passcode and logged out of Apple ID or Gmail.
Phone must be returned in good working condition.
Returning Phone from an Employee

Offboarding Notification:

When an employee is leaving, HR will notify the employee at least two weeks before the final date of employment.

The employee is notified that the company phone, along with any other issued equipment, must be returned on their last working day or the agreed-upon return date.

Returning Process:

On the agreed date, the employee will return the company phone along with any accessories provided (charger, SIM card, phone case, etc.) to the Tool Department.

The department requires that you provide the password to phone.

Data Wiping:

The Tool Department performs a secure data wipe on the retuned device to erase ally company data, including emails, files, contacts, and any other work-related information.

The phone must be returned with no passcodes or passwords accessible.

The Tool Department will verify that all apps, accounts, and settings related to company work are deleted.

Device Reset:

After the data wipe, the Tool Department will reset the device to factory settings, ensuring that the device is restored to its original condition and is ready for reassignment.
