Objective

To ensure that all parties are aligned on scope, expectations, schedule, and responsibilities prior to the start of installation activities. The pre-installation meeting is intended to prevent issues, improve coordination, and support quality and safety standards.

 

Background

Pre-installation meetings are a critical part of the construction process. These meetings serve as a communication platform between KCCI, subcontractors, design team, and other relevant parties. They help clarify project requirements, coordinate work sequences, review submittals, and address potential conflicts or safety concerns. Conducting a thorough pre-installation meeting reduces rework, delays, and cost overruns.

 

Things to Consider

When planning a pre-installation meeting, it's essential to consider the overall project schedule and ensure the meeting occurs early enough to allow for coordination and necessary adjustments before work begins. Invite all relevant parties, including KCCI, subcontractors, owner representatives, architects, and engineers, to ensure clear communication and alignment across teams. Distribute a pre-meeting agenda in advance and confirm attendance from all required participants.

The meeting should focus on the specific work to be installed, using approved submittals, shop drawings, and any available manufacturer installation instructions or specifications to clarify expectations. Review quality assurance and safety requirements, including applicable protocols and inspection procedures. Discuss site logistics, including delivery routes, storage areas, and access points, to minimize disruptions during installation.
