Objective
Establish a standardized process for the handling, tracking, and return of materials and supplies on the jobsite.
Background
This process will help streamline the management of jobsite materials, minimize waste, and ensure that resources are used efficiently. Regular training and adherence to these procedures will contribute to overall project success.
Things to Consider
All materials/supplies need to be forwarded to the Tool/Equipment Department at future date, if possible. This gives the department time to pick-up, buy, and deliver to jobsite.
Open containers, bags, tubes of caulking, and paint products should be properly disposed of, and should not be returned to the shop. Paint products should be labeled and left for owners.
When ordering materials and supplies think about storage for the items.
Paints, stains, concrete sealants, and ceiling tiles need to stay at the jobsite when the job is completed.
Jobsite Materials/Supplies/Return Items
Materials

Contact the Tool/Equipment Department about any materials that need to be pickup and/or stored before needed on jobsite.

All pick-ups the department will require job name and cost code. Will also need the details on the materials being picked up (size, quantity, and location of pick up).

Storage of materials is limited and will need to have a time frame attached to it.

When is it going out to the jobsite, and can it be stored outside or does it have to be in a climate-controlled area.

Transportation – Does the Tool/Equipment Department need to schedule a time to pick up/drop off materials.
Supplies

Contact Tool/Equipment Department for supplies that need to be brought to the jobsite and/or if we have supplies already in shop.

Any supplies as in nail, screws, carpet mask, clean materials, etc.

Caulking, floor glue, epoxy, etc.

Cleaning products, clean up tools etc.

If we don’t have the items on hand. Supply the department with Job name, cost code, size, quantity, for purchase of items.

Supplies that are on order if the Tool/Equipment Department needs to pick up items let the department know the address of supplier.

All supplies purchased for the jobsite paint, concrete sealant, ceiling tiles, stains, et. Needs to be left at the jobsite.

These are specially ordered for that site and need to be left for any future maintenance.

All materials specifically that are pre ordered and that is to be delivered to site later, Tool Department requests notification prior to delivery.
Return Items

Make all efforts to return leftover items.

If materials/supplies cannot be returned contact the Tool/Equipment Department for storage or even about giving away items. (If items will not be used again)

Most items can be stored depending on size and/or life expand of items.

Half used tubes of product should be thrown away.

These products will dry up if not used in timely manner.

Do not send opened supplies that will dry out if opened and have no way to seal items.

If transportation is needed contact The Tool/Equipment Department to schedule time and date for this return.

All materials that are broken need to be thrown in the dumpster on jobsite.

Materials that can be salvaged (plywood, FRP, 2x4s, etc.) half or more than half. The department will arrange for storage of these items.
Note – Dumping materials at shop without notifying the Tool/Equipment Department is considered a violation of company policy.
