Process: Hot Spot – Wireless Modems
Objective
The procedures for issuing, managing, and tracking wireless hotspots (mobile hotspots) and wireless modems provided to employees for work-related purposes. The goal is to ensure that these devices are securely issued, used and returned, and that they are properly tracked and maintained.
Things to Consider
This applies to all employees who require wireless internet access via hotspots or modems as part of their job responsibilities, either for remote work, travel, or specific projects that necessitate mobile internet connectivity.
Hot Spot – Wireless Modems

Request Initiation:

Employees or Project managers will contact the Tool department for request of hot spot or wireless modem.

The request should include the duration of use (temporary, long-term, what job that it is going to).
Reminder: These items are billed job to job.
Device Selection and Configuration
Device Selection:

The Tool department will select an appropriate hotspot or modem based on the Jobsites needs (coverage, speed requirements, portability, or compatibility with company systems).

Tool department may choose from pre-configured devices or may order new devices if required.
Configuration and Setup:

The Tool Department will set up the device with necessary configuration, such as:

WiFi security settings (WPA2 or WPA3).

SIM card activation

Data plan configuration (appropriate data limits, speed throttling)
Issuance of Device:

The jobsite is issued the hotspot or wireless modem, along with any necessary accessories (charger, USB cables).

The Tool Department will complete the necessary documentation:

Device model, serial number, and tool number.

Activation details, such as SIM card number and account information
-
Date of issuance.

Device Usage and Maintenance

Employees must use the device solely for work-related purposes (remote work, travel, business meetings).

Employees are prohibited from using the device for personal use that exceeds reasonable limits or violates the company’s data usage policy.
Data Plan Management:

Tool Department will monitor and review data usage to ensure that employees are not exceeding the data limits provided by the company.

Excessive use may be flagged for review. Excessive use may be cause by streaming non-work related videos, movies, show, or any other streaming.

Employees should report any issues related to data usage, coverage, or device functionality to the Tool Department immediately.
Devices placement

If employee moves from one jobsite to another out of town. The Tool Department need to be notified when moving.

If there is no longer a need for the device return to Tool Department promptly.
