Upload Specifications
Objective
To upload specifications to a project using the Specifications tool.
Things to Consider
- Required User Permissions:
- 'Admin' permissions on the Specifications tool.
- Additional Information:
- You can only upload PDF files to the Specifications tool.
- If your upload matches an existing spec section, Procore automatically creates a revision. See Upload Specification Revisions.
- Please note that when we process your spec book, we may need to change the digital rights management settings in order for Procore to display the file.
- If your specification upload fails, it could be due to a file that is encrypted, password protected, or corrupt. See Why are my specification uploads failing?

Steps
- Navigate to the project's Specifications tool.
- Click Upload.
Note: Upon upload, Procore will use text extraction to automatically split up the PDF into its individual spec sections. It is recommended that you upload your spec book as one PDF instead of uploading each section as a separate file. This will make the review process much faster and more organized. See How can I improve the accuracy of specification section identification?
- Choose one of the following options for selecting your specification file or files:
- My Computer: Select if you are uploading a file from your computer.
- Click Attach File(s) to browse for one or more files to upload.
OR
- Drag and drop files from your computer into the gray box.
- Documents: Select if you are attaching one or more files from the Documents tool in Procore.
- Mark the checkboxes next to the files you want to upload.
- Click Attach.
- Complete the following:
Note: Fields with an asterisk (*) are required.
- Specification Set*: Click the drop-down menu to select an existing set or create a new one.
- Create New Set:
- Enter the name of the new set into the Search bar.
- Click Create Set.
OR
- Select Existing Set:
- Select the appropriate set from the dropdown menu.
Note: You will typically use this option to upload new revisions as they become available.
- Set Date*: Select today's date or the date the set was created.
Note: If you selected an existing set, you will not be able to change the original 'Set Date'.
- Format*: The format will be selected based on the region your project is set to (MasterFormat CSI is automatically selected for USA and Canada, while Natspec by NCS is selected for Australia).
- If the specifications do not follow one of the listed formats, select No Format/Other Format from the drop-down menu.
Note: When selecting this option, the specifications will not be split into sections by Procore. Instead, you can review and split the specifications manually or quickly publish them as a single spec section without reviewing.
- Default Issued Date and Received Date: These fields are useful if you want to track more granular data about your individual specifications, or if certain specifications were issued on a different day than the rest of the set.
- Default Issued Date: Select the date the revisions were issued.
- Default Received Date: Select the date the revisions were received.
- Advanced Options: Click the arrow next to Advanced Options to expand the following option:
- Default Revision: If your specifications set has a default revision number or letter, enter it here. The revision number or letter entered will be set as the 'Revision' value on all spec sections in the upload. This should be used when the revision number is known and is the same for all spec sections in the upload.
Note: If a default revision is NOT specified, Procore will auto-increment the spec section revision number or letter based off the previous set's revision field.
- Number to Ignore: Occasionally, numbers that resemble a spec section number can make it difficult to accurately split up and auto-label your spec sections. Enter a number here if you want the number to be ignored as a spec section number, which may improve your upload results.
- Specifications Language: Set the language of the specifications to properly identify spec section breaks in the uploaded file. Only CSI MasterFormat supports languages other than English.
- Click Process.
Your files are uploaded into Procore and processed. You can track the progress in the 'Items to review' window that pops up at the bottom of your screen.
