Search For and Filter Files

To search and filter files in your Documents tool.

Things to Consider

  • Required User Permissions: 'Read-only' and above on the Documents tool.
  • These permission levels apply to both the Company and Project level Documents tool. (Note: permission levels are tool-specific. For example, you can have Read-only level permissions on the Company level Documents tool and 'Admin' level permissions on a Project level Documents tool. Please keep this in mind when you are looking to tasks at different levels.)
  • If you search for a document at the Company level, it will not search project folders.


  1. Navigate to the Project or Company level Documents tool.
  2. In the right pane, note the Search for a document and Filter Documents by sections.

Search for a file

  1. Search for documents by document title by typing keywords in the search bar and clicking Search.
  2. The search bar will look for keyword matches in the following fields.
    • Filename
    • Path
    • Description
    • If your project was created after 10/18/2016, the search bar will also search within the contents of certain file types (vector .pdf, .doc, .docx, .csv, .xls, .xlsx.). 
      • The best way to see if a document is vector-based is to open the pdf in Adobe Reader and try to select the text. If the text is selectable, then it is almost certainly vector text and should be contextually searchable.

Filter files

  1. Filter documents by the following, and then click Filter:
    • The date it was created/uploaded
    • Who it was created by
    • Who it was transferred from another project by
    •  Click Display files from Recycle Bin to include files that have been deleted in this search.
  2. Choose an option from the drop-down menu that appears when you click on a filter. You can filter by more than one filter, and Procore will show the results as you click to narrow your options.
    • Combine searches and filters to narrow your results down by searching for a title first, clicking Search, and then filtering your documents and clicking Filter​.
  3. When you're done, you will be taken to the Search/Filter page. To add more filters, select from the drop-down menu at the top of the page.
  4. To exit out of the page, click the breadcrumbs at the top of the page for Documents.
