(DEPRECATED) Allow a Standard User to Add a Person and Company to the Project Directory

Objective

To delegate the authority to add users to a Project Directory to a user with 'Standard' level permissions to a project's Directory tool.

Background

By default, users can only be added to the Project level Directory tool by a user with 'Admin' level permissions to the Project level Directory.  However, for some construction projects, a user with 'Admin' level permissions to the Company level Directory might want to the delegate a limited amount of authority to a user with 'Standard' level permissions. This gives a 'Standard' user the authority required to add new users to a project. 

EXAMPLE

For example, a project manager for a general contractor might want to delegate limited authority to a superintendent to give that superintendent the ability to invite new subcontractors to a Procore project. 

Things to Consider

  • Required User Permission:
    • To delegate limited authority to a 'Standard' user, you must have 'Admin' level permissions to both the Company and Project level Directory tools.
  • Requirements:
    • In order to delegate limited authority to a 'Standard' user:
    •  After authority is delegated, the 'Standard' user will have the:
      • Authority to add new users at the Project level.
        Note: The Add Company button is not available to 'Standard' users. If the new user also belongs to a company that doesn't exist in the Directory, a 'Standard' user must add the new company information using the Add Contact Information page. This creates a new company record in both the Project and Company Directories.
      • Authority to associate new users at the Project level with an existing company in the Company level Directory using limited editing features in the Project level Directory tool. 
      • Authority to reinvite the users they add to the project. 
  • Limitations:
    • A 'Standard' user will be granted permissions to update a limited number of fields (for example, address, business phone, associated company, etc.). You will NOT have permissions to change an email addresses.
    • The Add Company button is not available to 'Standard' users. 
    • A 'Standard' user does NOT have permission to add a new vendor/company record to the Project Directory by entering new 'Company Information' in the Edit Contact page. Although the user can record the user's 'Company Information' in the person's record, doing so will NOT create a new company/vendor record in the Directory. That ability is only available to 'Admin' users (see Add a Person to the Project Directory).
    • You can only modify account information for the users that you add to the project. 

Steps

Verify the Company Level Permission Template

  1. Log into Procore using an account that has been granted 'Admin' level permissions to the Company Directory.
  2. Navigate to the company's Directory tool.
    This reveals the Company Directory page.
  3. Click the Configure Settings  icon.
    This reveals the Company Directory Settings page.  
  4. In the right pane, make sure the Permissions Templates is selected.
  5. In the Permissions Templates page, scroll to the desired template. 
    In this example, we will scroll to the Foreman/Superintendent template.
  6. Click Edit next to the desired permission template.


     
  7. In the Select a Template drop-down list, select the desired permission template. This defines the specific access permissions that the 'Standard' user can grant to the new users that they add to the project. For example, if you want a Foreman/Superintendent to have the ability to add Subcontractors to a project, select the Subcontractor template as shown below. 
    Important: If you do not want a Foreman/Superintendent to have the ability to add an Architect/Engineer to the project, do NOT select the Architect/Engineer template. 


     
  8. Click Update
    The Confirm Permission Updates window appears. Confirm that a checkmark appears next to the desired user names. Then click Confirm
  9. Scroll down to permission template that you just updated.
    (Note: While the system is updating the template, an information banner appears at the top of the template's permissions matrix. It may take a few minutes for the update to complete.). 
  10. When the update is complete, the following confirmation message appears:

Verify the Project Level Permission Template

  1. Log into Procore using an account with 'Admin' level permissions to the company's Directory tool. 
  2. Navigate to the project's Directory tool.
    This reveals the Project Settings page. 
  3. In the right pane, click the Configure Directory Settings link at the bottom of the page. 
    This reveals the Project Directory Settings page. 
  4. In the right pane, click Permissions Table.
    This reveals the 'User Permissions for Directory' page.
  5. In the 'Project Directory Settings' page, scroll to the desired template. 
    In this example, we will scroll to the Foreman/Superintendent template.
  6. Click Edit next to the desired permission template.


     
  7. In the Select a Template drop-down list, select the desired permission templates. This defines the specific access permissions that the 'Standard' user can grant to the new users that they add to the project. For example, if you want a Foreman/Superintendent to have the ability to add Subcontractors to a project, select the Subcontractor template as shown below. 
    Important: If you do not want a Foreman/Superintendent to have the ability to add Architect/Engineer to the project, do NOT select the Architect/Engineer template. 


     
  8. Scroll down to the Directory row in the template, then verify that a green checkmark appears in the Standard column. 


     
  9. When finished, click the Update button located to the bottom right of the permission template.

  10. If you want to verify that you've delegated authority properly, continue with Verify the 'Standard' Delegate Can Add Users

Verify that the 'Standard' Delegate Can Add a Person and Company

  1. Log into Procore as the delegate. The delegate is the user with 'Standard' level access permissions who will be adding new users to the project. 
  2. Navigate to the Project level Directory tool. 
  3. Note that the following buttons should now be visible and available:
    • Add Person 
    • Bulk Add from Company Directory 
  4. ​Click each button to open the corresponding form.
    You now have permissions to add users to the Project level Directory tool. Note the following limitations:
    • You have permissions to update a limited number of fields (for example, address, business phone, associated company, etc.). However, you do NOT have permissions to change an email addresses.
    • The Add Company button is not available to 'Standard' users. 
    • You do not have permission to add a new vendor/company record to the Directory by entering the new company information in the Create or Edit Contact page that appears after clicking Add Person.
    • You can only modify account information for the users that you add to the project.
