2.5 - View/Create Reports and Delete Items

1. View All Punch List Items

Things to Consider

  • Required User Permission: 'Read-only' and above on the project's Punch List tool.
  • The Punch List default view is set to only show your open punch list items.

Background

You may want to view all punch list items if you are having a difficult time locating an item, or simply want to view the progress of all your punch list items.  The default view is set to show punch list items with the status of "Open"  so you can view which punch list items still require attention. You also have the ability to filter punch list items by Priority, Assignee, Response, and Status.

Steps

  1. Navigate to the project's Punch List tool.
    Note: You will be presented with punch list items that are assigned to you.
  2. In order to view all open punch list items, click All Items under views in the right sidebar.
  3. All overdue punch list items will appear in red.

2. Export Punch List Log to a PDF or CSV

Things to Consider

  • Required User Permission: 'Read-only,' 'Standard,' and 'Admin' level permissions on the project's Punch List tool.
  • Use the punch list filters (e.g. Assignee Company, Location, Type, etc.) to focus attention on specific punch items and limit total page length. For example, you may want to export contractor-specific PDFs.

Steps

  1. Navigate to the Project level Punch List tool.
  2. Click Export.
  3. Click the PDF drop-down menu in the top of the page.​
    • Print w/ photos & drawings: This option provides a detailed PDF of the Punch List including thumbnails of attached photos and snapshots of linked drawings. The PDF will be prepared and emailed to you as a PDF attachment. The following information will be included: 
      • Title
      • Type
      • Assignee Name/Company
      • Response Status
      • Status
      • Date Initiated
      • Due Date
      • Location
      • Reference
      • Priority

         
    • Print w/o photos or drawings: This option provides a concise summary of the punch list items in your log. The PDF will be downloaded to your local computer. The PDF will include the following information:
      • Title
      • Type
      • Assignee Company
      • Assignee Name
      • Response Status
      • Status
      • Date Initiated
      • Due Date
      • Location
      • Reference
      • Priority

3. Export Single Punch List Item to a PDF

Things to Consider

  • Required User Permission: 'Read-only,' 'Standard,' and 'Admin' level permissions on the Project level Punch List tool.

Steps

  1. Navigate to the Project level Punch List tool.
  2. Click Edit or View next to the punch list item you would like to export as a PDF.
  3. Click Export.
  4. Click the PDF button.
  5. A concise summary of the punch list item will download to your computer's default "Downloads" folder. The PDF will include the following information:
    • Title
    • Assignees
    • Date Initiated 
    • Cost Code
    • Location
    • Distribution List
    • Description
    • Created by
    • Due Date
    • Status
    • Assignee Response
    • Response Date
    • Response Status
    • Comments
    • Attachments (with links to view)
    • Photos
    • Comments

4. Delete a Punch List Item

Things to Consider

  • Required User Permission: 'Admin' on the project's Punch List tool.
  • No items are permanently deleted from Procore, and you will still be able to access deleted items from the Recycle Bin. See What is Procore's Recycle Bin? for more information.

Steps

  1. Navigate to the project's Punch List tool.
  2. Click Edit next to the Punch List item that you want to delete.
  3. In the right sidebar, click the Delete button.

  4. Click OK on the "Are you sure you want to delete this punch item" pop-up.

5. Search the Punch List

Things to Consider

  • Required User Permissions: 'Read-only' and above on the Punch List tool.
  • Any search and filter parameters that you set will be remembered for the next time you log in.
  • The search tool respects any selected filter parameters and will only search for items within the filtered results.

Steps

To Search for Punch List Items
  1. Navigate to the project's Punch List tool.
  2. At the top of the page, you will see the search bar and filter options.
  3. Enter a word or phrase in the Search bar. The following fields are searched for the specified keyword terms:
    • attachment
    • comments
    • description
    • name
    • reference
    • location
  4. Click Search.
To Filter by Punch List Items
  1. Click on the "Add Filter drop-down menu. and choose from the options in the drop-down menu.
  2. The following filters can be applied and combined with each other to narrow down results. 

 

6. View Change History of a Single Punch List Item

Things to Consider

  • Required User Permission: 'Admin' on the project's Punch List tool.

Steps

  1. Navigate to the project's Punch List tool.
  2. Click Edit next to the punch list item you would like to view Change History for.
  3. Click the Change History tab. The number next to "Change History" indicates how many times the punch list item has been edited. You can view what exactly has been edited in each version under the "Changed" column.
