Observation SOPs (KAST)

  • The Observations Tool is designed to be used at any phase in the project lifecycle to assign issues related to quality, safety, commissioning, warranty, and work to complete to any Procore user with access to the project in order to track issues to completion and hold team members accountable.

  

  • The general guideline for Observations is that whoever creates it, owns it, and eventually closes it.

 

  • It is critical to create tiered Locations at the start of a project in order to leverage the power of the Observations Tool. It is critical to include a Location when creating observations in order to track Area / Floor / Room #  affected in order to effectively track and resolve an issue(s)

 

 

 

  • It is best practice to attach photos to an observation to document issues and resolutions. Procore also saves these photos to private album in the Photos Tool.

 

  • It is the responsibility of the project team to manage all open observations on the project. Items that are marked "Ready for Review" (KAST Ball in Court) must be reviewed and either "not accepted" with a picture / documentation explanation, or "closed" if proper documentation is provided by the assignee. If documentation is not provided by assignee, KAST team must attach documentation prior to closing.

 

  • For items that are frequently being observed between a trade partner it is best practice to set up a template within the observation tool.

 

  • KAST utilizes Observations Templates to manage the completion list process, prior to Punch, in order to create a scope-specific completion list for trade partners in an efficient manner.

 

  • The Reports Tool is valuable resource for managing and tracking Observations. One such report is they company-wide report called "Jobsite Subcontractor Observation Report (QC & WTC)" that project teams may clone and edit at the project level to create one master list and unique reports for each Trade Partner that may be set up for automated distribution.

OBSERVATION TYPES

Quality

Type Use Case
3rd Party Inspections Used for tracking items generated by any 3rd party consultant/engineer that requires action by KAST to correct
Constructability Review 

Used during the Precon process, prior to the final issuance of contract documents (e.g. "GMP Set" or "Permit Set").

Used to communicate design concerns with Ownership and Design team in the SD and DD phases.

Coordination An item created from a Coordination Issue for 2d and 3d Coordination. Please see Examples here 
Damage - Cause Used during the "Property Damage Incident Inspection". This Obervation type is created as a part of the report in order to track completion and cost (via change event tool)
Deficiency / Corrective Action Any feature(s) of work that is not with in industry standards or defective materials
Non-Conformance Any feature(s) of work not in accordance with contract plans and specifications, or submitted & approved product data, or trade coordination (2D, 3D, "BIM", etc.)

Safety

Safety Hazard Any day-to-day safety item that is found on the jobsite that needs to be assigned to a particular company/person and tracked to completion 
Safety Notice Any upcoming Safety event that needs to be tracked and assigned to a company/person - I.E. Obtaining MOT for Crane Demobilzation 
Safety Violation Any safety item that subcontractor will end up being fined for.

Work to Complete

Damage - Remediation

Used during the "Property Damage Incident Inspection".

Used to track, assign, and resolve any associated repairs /re-work.

Field Coordination (VDC) Created by the KAST Coordinator from a Coordination Issue for 2D and 3D Coordination that is to be coordinated in the field.  Please see Examples here 
Protection of Finished Work  Protective measures are needed or missing in order to protect any finished material on site.
Work to Complete Any incomplete scope of work from a trade partner that needs to be tracked to completion 

Commissioning

Commissioning  Defined as an issue when commissioning any piece of equipment on a job.
