VDC File Storage Policy

DO NOT STORE FILES SOLELY ON YOUR LOCAL DRIVE, WORKING FILES OR OTHERWISE!

Overview

  1. Save all work-related files to folders within the KAST Egnyte file structure under the Y-Drive
    1. All project-specific files should be within the project folder structure, either Precon/Projects or Ops
    2. The Egnyte Private folder is reserved for “personal”, non-project-specific, files only (vacation request, expense reports, etc.)
  2. Do not download files from Egnyte to your local hard drive, but instead utilize the Egnyte Desktop app to sync working files as needed, and de-sync when finished with that project, pursuit, or assignment.

Best practice is to utilize the Egnyte Desktop App for accessing and storing files

  • The one caveat is that larger, model, files should be saved to your secondary (D) drive & this app does not support secondary drives
  • However, ALL folders and files that you have access to on Egnyte are available here provided you have internet access
    • Best practice is not to rely on internet access connection for large files

In order to sync files to your secondary (typically D) hard drive you will need to download the Egnyte Desktop App

    • Precon/Projects/[PROJECT YOU ARE WORKING ON]/[ESTIMATE STAGE]/VDC
      • "Estimate Stage" may be GMP, RFP, DD, etc.  Choose the most current

Process for "Pursuits"

  1. If Precon has established a Folder Structure in Y:\Shared\Precon\Projects
    1. use the VDC folder under that structure
  2. If Precon does not yet have their own folder set up:
    1. Navigate to the 00.VDC Pursuits folder on your Y-Drive (Egnyte Desktop App)
      1. Y:\Shared\00.VDC Pursuits
    2. Right click [PROJECT NAME] folder and select "copy"
    3. Right-click in the empty white space of the folder and select "paste"
    4. Rename [PROJECT NAME] to the name of the project
    5. Open the Egnyte Sync settings in your task bar (down by the clock)
    6. Choose the options to select folders to sync
    7. Add the new folder to the list by checking the box

Standards for Operations Phase

  • ALL work on a project must be saved within that project folder, typically somewhere in the 400.BIM folder, once the Operations phase has begun.
    • Operations phase, broadly, is defined by working on coordination, mockups, or 3D logistics for the on-site team.
  • Within a project, the "Staff" folders are to be avoided.
    • Exceptions would be early startup when you're working on the Coord Plan and Schedule
    • If you've started coordination, the plan and schedule should already be complete and saved in
      • 400.BIM & CAD\410.BIM Docs\411.Coord Plan
  • Maintain and update the plan and schedule as you move through coordination. 
    • e.g. Sub misses 2 meetings and/or hasn't submitted a model in 2 weeks?  That will likely have an impact on the schedule, so update the schedule accordingly and notify the project team. 
      • When notifying the team, be BRIEF.  They don't care about the details of the ceiling or the whatever. 
        • X sub has not turned in a model in Y weeks and it's causing a Z delay to the coordination schedule.  This is/is not currently impacting the critical path of the construction schedule
          • e.g., is it pushing your signoff date past the drop dead date on the calculated Coordination Schedule)
  • 2D Drawings Produced from BIM for the field should be saved to
    • Y:\Shared\000.Project Template\200.Field\210.Coord & Markups\211.BIM
