Coordination Area Plan

PROCESS STEPS

  1. At the beginning of the project, Create one plan for each area of coordination (floor, area of a floor, etc.)
  1. Create inspections once plan is published
    1. plan has to be published for creation to work correctly

THINGS TO CONSIDER

  1. The dates for coordination activities are developed in the Excel Coordination Schedule and should reflect and respect the construction dates.
    1. The construction dates may need to be adjusted in the Coordination Schedule.  They SHOULD be adjusted to reflect the schedule at the coordination start because sometimes the schedule is several months old by the time we start.
    2. The coordination dates should also be adjusted when coordination starts & Action Plans are updated.
  2. The dates for coordination start and coordination finish line items should reflect the dates from the Coordination Schedule.
  3. Neither the Coordination Schedule nor the Action Plan dates are "locked in" until coordination starts.
    1. Immediately before coordination starts, review the Construction Schedule, Coord Schedule, and Action Plans and adjust dates accordingly.
    2. From there on, the "planned" dates should stay fixed, and the "revised" dates can change (with notes).
      1. There is no need to enter revised dates until the planned date will not be met.
    3. There may be extenuating circumstances (like months-long coordination pauses) that we can discuss case-by-case.
  4. Each item on the plan needs a due date.
  5. The "Key Dates" items must be completed at the start of coordination, not the end.  These mark the "actual start" and should match (or could replace) the "actual start date" coordination schedule.

INITIAL PLAN CREATION

  1. At the beginning of the project, Create one plan for each area of coordination (floor, area of a floor, etc.)
    1. If construction is already ahead of coordination, you may need one plan for vertical coordination to stay ahead of the sleeves and another for horizontal overhead coordination.
    2. Set Status to "Plan Created"
      1. Change to "In Progress" once coordination for that plan has started
  2. Set yourself as the "plan manager" and "Action Plan Approver" when creating an area plan
  3. Coordination Schedule dates are entered:
    1. Due dates
      1. (Section 1.1) Initial models = 1 week before "Plan Start" for the area
      2. (Section 1.2) Start Coordination = start date of coordination activity
      3. (Section 1.3) Revised Start = only use if start is delayed.  Enter a due date of your best guess as to when you will start.  BE REALISTIC
      4. Section 1.4) Final models = 1 week before "Plan End" for the area
      5. Section 1.5) End Coordination = end date of coordination activity
      6. Section 1.6) Revised Finish = only use if the finish is delayed.  Enter a due date of your best guess as to when you will finish
      7. (Section 2) Logs = end date of coordination activity
      8. (Section 3) Sign Off = end date of sign-off activity
    2. Replace any Assignee set to "internal" with KAST Coordinator (typically yourself)
      1. if the model is in any way usable, initial model can be checked off
      2. Use CIs to track model delivery
        1. assign a coordination issue to any trade not complete with initial models by the due date
        2. leave open until model is "complete"
  4. Include the coordination area in the "Location" drop down
  5. When adding model dates, create only one "Inspection"
    1. when adding initial model dates, create a new inspection
    2. When adding final models, link to the original inspection

PREPARING PLAN FOR SIGN-OFF

  1. When signing off partial areas for a floor, create a new plan for the comeback or delayed area.
    1. E.g. if you have an Action Plan for L07, but are signing off only the Units while you wait on the corridors:
      1. Revise your Coordination Schedule accordingly to show the break-out area.
      2. Edit the original plan to add “units only” to the title and description.
      3. create a second plan for “L07 Corridors” and enter the expected end dates from the revised schedule.
  1. Enter final model dates on original inspection
    1. when adding final model dates, link to the inspection from item 1.1
  2. Attach pdf copy of completed inspection to item 2.1
    1. this memorializes the dates
  3. Attach all logs in items 2.2-2.4
    1. filter for correct location
  4. Add Subcontractor Signers
    1. Add appropriate Subcontractor assignees in section 3 
      1. Subcontractor PM/Super
      2. Subcontractor Modeler/Drafter
      3. Subcontractor Field
    2. Completed Action Plan Receivers
      1. KAST Project Lead PM and Super (add as required)
      2. KAST MEP or Finish super(s) (if applicable)
      3. any other participating KAST staff (PE, APM, etc.)
  5. Click "publish" on the plan
    1. this will notify all assignees that the plan is ready for their assigned items to be signed
