Convert Procore CI to Observation

Background
There are several instances where you may want to elevate a Procore Coordination Issue to an Observation. They may include:
- An issue that is too hard, or too easy, to coordinate in the BIM model so you're going to leave it to the field.
- Example(s):
- Commercial kitchen equipment that was not part of BIM
- Example(s):
- A single building item that just needs to be field adjusted to accommodate another trade
- Example(s):
- a light fixture that needs to be rotated in the field to accommodate ductwork
- Small (<1") water lines that simply need to be field-routed around another system
- Example(s):
- A trade that did not participate in the coordination process but that will need to make adjustments to accommodate MEPs
- Example(s):
- Framing that will need to be strategic to accommodate another trade above
- Example(s):
- A trade has simply refused to make the final changes to their model
- Example(s):
- The field approved shop drawings and installed prior to completion of the coordination process and the sub doesn't see any value in finalizing the model

General Guidelines
- KAST Observation SOPs
- including "whoever opens it owns it & closes it
- The goal should be "zero field-coordination Observations"
- While typically not possible, this is what we should strive for as a theoretical goal
- When "field coordination" Observations re the result of a trade refusing to make final adjustments to the model:
- Compile a list of all open CI for that floor or area (filter CI tool or create report)
- Send list to Lead Super and Lead PM saying:
- These are the final model adjustments we've requested from [MODELER NAME] at [TRADE CONTRACTOR NAME], with copies to [TRADE PM NAME] and [TRADE FOREMAN/SUPER NAME]. I have made multiple requests (see attached emails, if any). If they are not resolved by [REALISTIC DUE DATE] they will be converted to "Field Coordination" Observations assigned to the KAST team so that I can sign off this area. Field Coordination Observations, particularly this many, are counter-productive to the process and bog everyone down with unnecessary paperwork. Please assist me with getting these resolved in the model.

Create Observation from CI in Navis Plugin
The "New Observation" window in the Procore Navisworks Plugin has limited fields available relative to the Observation tool in Procore. All of these may be edited here, or in the Observation tool within Procore.
Those fields include (must select/edit, should edit, can edit but not required :
- Type
- Work to Complete: Field Coordination (VDC)
- Title
- Auto-populates from the CI
- you may edit it here or in the Procore Observation tool
- Description
- Auto-Populates from the CI
- you may edit it here or in the Procore Observation tool
- Location
- Auto-Populates from the CI
- Trade
- Choosing a trade here will help you bulk-edit within Procore
- Assignee
- KAST Lead Super (or MEP super, if applicable)
- Distribution
- KAST Lead PM
- Any other KAST participants (APM, PE, Assistant Super, etc.)
- Trade Modelers, Super, Foremen, PM, etc.
- Private (yes/no)
- Should default to Private. Suggest not un-checking
- KAST Procore settings allow all KAST staff plus anyone working for assignee company to view private Observations
- Attachments
- Auto-populates with the primary CI image(s) created when the CI was created
- These original images may not be relevant to the CI once it's a field observation. You may wish to replace them later.
Edit Observation in Procore Web
Once you have converted the CI to an Observation in Navisworks, you will still need to do some work within Procore on the web. The fields above are all available and you may choose to edit them on the web, and you will have additional fields available to complete. Those fields include:
- Status
- Suggest keeping the default of "initiated"
- Priority
- Use as you see fit, but trend towards leaving blank
- #
- While this field is editable, strong suggestion to leave it alone
- If you edit, the next person will default to the next number in line after yours and may not realize it
- Due Date
- Will default to 7 days from date of creation.
- Edit as you see fit. Be mindful of when the actual work may be happening. Don’t set a due date of tomorrow for work that won't happen for 7 months
- Spec Section
- Generally not used.
- Assignee
- KAST Lead Super
- Distribution
- KAST jobsite staff
- Affected Trade PM
- Trade Modeler
- Trade super/Foreman
- Attachments
- If you'd like to add to or replace the attachments, this is the place to do it.
- You may drag and drop any attachments into the Attachment box, or click "Attach Files" to navigate to them on your desktop
- To replace the images that came from Navis with images from the CI activity feed:
- Delete any irrelevant attachments by clicking the "X" next to the file name
- Open the relevant CI in a new window by clicking the link in the Observation
- Drag the relevant image from the CI activity feed to your desktop
- Drag the image from the desktop to the Attachment field in the Observation

Bulk-Edit Observation in Procore Web
You may edit many of the fields above via the "Bulk Actions" in Procore web. To do so:
- Attempt to filter the view as much as possible. Suggestions for filters (remember, filters "stick" so the next time you come to the tool you may need to re-set them):
- "Created By" set to yourself
- "Trade" set to a particular trade you'd like to assign
- "Type" set to either "work to complete" or "coordination"
- Example: To bulk-assign all of the field-rotated light fixtures,
- filter by
- Trade=electrical
- type=work to complete
- Set assignee to electrical Trade Super/Foreman
- filter by
- Check the box next to the Observations you would like to bulk edit
- Click "bulk actions" and choose "edit"
- There are several fields that you may bulk edit. See above for guidance. They include:
- Type
- Trade
- Location
- Priority
- Assignee
- Due Date
- Spec Section
- Private
- Status

Drop pins on plans for critical CI-->Obs
It is best practice to "drop pins" on the contract documents (plans) for all critical Field Coord Observations for reference by KAST field staff.
- Open the relevant sheet(s) in the Procore Drawings tool
- Open the Markups tool bar on the drawing
- Click the CI tool
- Place the pin on the drawing in the location of the issue
- Type the number of the Observation and click to select
- Click "Publish" on the popup above the pin
